We are seeking a detail-oriented Administrative Assistant to support our Power Systems service operations in Bristol, PA. This role is ideal for someone who has worked in an equipment service, generator, construction, or mechanical service office and understands fast-paced service workflows.
You will play a key role in payroll processing, invoicing, rental documentation, and supporting the Power Systems Service Manager with daily branch operations.
Responsibilities
- Process daily technician payroll
- Generate and process daily service invoicing
- Process vendor invoices and maintain organized payables
- Handle generator rental invoicing
- Coordinate rental generator Bills of Lading (pickup and delivery)
- Review active Work-in-Process (WIP) reports
- Coordinate follow-up work with Service Coordinators
- Manage technician PTO schedules and on-call lists
- Provide administrative support to the Service Manager
- Perform general office and clerical duties
Additional responsibilities may be added as the branch grows.
Qualifications
- 2+ years administrative experience preferred
- Experience in a service-based business strongly preferred (equipment, construction, generator, mechanical, etc.)
- Comfortable handling payroll and invoicing
- Strong organizational and multitasking skills
- Proficient in Microsoft Office (Excel, Outlook, Word)
- Reliable and able to work onsite daily
