Staffing Connection Inc. is currently working on behalf of a well-established client that is seeking a highly organized and detail-oriented Administrative Assistant to support their growing team. This is a fantastic opportunity for someone with strong administrative skills, looking to work in a fast-paced environment where they can contribute to the operations of an agency dedicated to staffing professionals in the behavioral health field.
Position Overview:
The Administrative Assistant will serve as the backbone of this behavioral health staffing agency’s daily operations, providing essential administrative support to the recruiting and client services teams. The ideal candidate will be responsible for ensuring that all records, paperwork, and communications are handled efficiently and accurately, while also being the first point of contact for candidates and clients. This role is integral to the agency's success, as it helps maintain a smooth workflow and positive interactions with both internal and external stakeholders.
Key Responsibilities:
- Provide comprehensive administrative support, including scheduling interviews, managing candidate files, and coordinating communication between recruiters, candidates, and clients.
- Assist in the onboarding process for new hires, ensuring all necessary documentation is completed and compliance requirements are met.
- Serve as the agency’s first point of contact for incoming inquiries from clients and candidates, directing them to the appropriate team member as needed.
- Maintain organized and up-to-date filing systems, both digital and physical, ensuring easy access to candidate and client information.
- Assist with payroll administration by collecting and reviewing timesheets, and coordinating with the payroll team to ensure timely payments.
- Draft and distribute internal and external communications, including emails, memos, and candidate/client updates.
- Monitor and manage office supplies, equipment, and general office functions to ensure a well-run workplace.
- Support ongoing projects and perform additional administrative duties as assigned by management.
Qualifications:
- High school diploma or equivalent (Associate's or Bachelor's degree preferred).
- At least 2 years of experience in an administrative role, ideally in staffing, healthcare, or a related field.
- Excellent organizational skills, with strong attention to detail and the ability to multitask effectively.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using applicant tracking systems or other HR software.
- Exceptional verbal and written communication skills.
- Ability to work independently and take initiative, while also collaborating effectively with the team.
- Previous experience in the behavioral health or healthcare staffing industry is a plus but not required.
