Accounting Specialist

Position Summary:

The Accounts Payable Specialist is responsible for the day-to-day operations of the Accounts Payable department. This role requires a thorough understanding of all A/P functions to ensure that invoices are processed accurately and payments are made in a timely manner. The ideal candidate will have strong attention to detail, excellent communication skills, and the ability to build effective working relationships with vendors and internal departments.

Key Responsibilities:

• Enter all invoices into the accounting system and issue payments for four companies.
• Apply general ledger coding to invoices according to established procedures.
• Print and obtain signatures for checks over $10,000; prepare ACH payments and mail checks.
• Review and approve expense report coding.
• Respond to vendor inquiries and assist terminal locations as needed.
• Support month-end and year-end closing procedures.
• Assist the Accounting Supervisor and Treasurer as required.
• Serve as back-up for Accounts Receivable and hourly payroll functions.
• Process payroll vendor disbursements and generate related reports.
• Prepare and submit monthly union reports (dues, health & welfare, pension, etc.).
• Track, calculate, and file various state use tax reports.

Minimum Qualifications:

• Associate’s degree in Accounting, Finance, or Business Administration — or equivalent experience.
• Strong attention to detail and consistency in task execution.
• Professional, approachable, and positive demeanor.

• Proficient in Microsoft Excel and other Microsoft Office products.
• Experience with Intacct, Coupa, or WorkforceGo preferred.
• Solid understanding of Accounts Payable processes and fundamentals.
