We are seeking to add an Executive Assistant to our team to enable critical administrative success. This role will be responsible for providing high-level administrative and organizational support to the Executive Director while helping coordinate day-to-day operations across Manchester Youth Development Center. Serves as a trusted partner by managing schedules, supporting board and leadership activities, coordinating communications, and ensuring organizational priorities and administrative functions run efficiently. Essential Responsibilities:- Manage the Executive Director's calendar, appointments, meetings, and travel arrangements.
- Coordinate leadership meetings, Board of Directors meetings, and committee meetings, including preparing agendas, materials, minutes, and follow-up items.
- Draft, edit, and distribute correspondence, reports, presentations, and other organizational communications.
- Serve as a primary point of contact for internal and external stakeholders, responding to inquiries and directing requests appropriately.
- Coordinate organizational calendars, events, and meeting logistics.
- Track assignments, action items, and organizational priorities to support timely follow-up and execution.
- Maintain confidential executive, board, and organizational records and files.
- Assist with preparing grant materials, reports, presentations, and other documents for leadership as requested.
- Support special projects, strategic initiatives, and cross-functional efforts on behalf of the Executive Director.
- Coordinate travel, registrations, memberships, and other administrative needs for organizational leadership.
- Provide general administrative support while maintaining professionalism, discretion, and confidentiality .
- Associate's degree in Business Administration, Office Administration, Communications, or a related field required. Bachelor's degree preferred. Relevant experience may be substituted for education.
- Minimum of three years of progressively responsible executive or administrative support experience.
- Experience supporting senior leaders, executives, or boards of directors preferred.
- Experience in a nonprofit, education, or human services environment preferred.
- Ability to obtain and maintain all required Pennsylvania clearances, if applicable.
