Director, Post Closing Operations
Overview:
Position Summary
The Director of Post Closing Operations oversees the final stages of real estate transactions to ensure the proper completion and compliance of all post-closing process. Responsibilities typically include:
- Providing strategic leadership and direction to Post Closing teams, including managers and staff
- Ensure timely and accurate processing, recording and distribution of closing documents, such as mortgages and title policies
- Collaborating with internal departments (closing, compliance, disbursement) and external stakeholders (lenders, county offices, etc.) to ensure Post Closing Operations comply with regulatory requirements
- Driving process improvements and implementing technology solutions to streamline workflows, enhance productivity and reduce risk
- Managing escalations of complex post closing issues, ensuring resolution in a timely manner
- Monitoring performance metrics, maintaining quality control and ensuring adherence to company standards and legal regulations
- Assisting in managing the department’s budget and resources
What you will do
- Communicate & Enforce policies and procedures to their teams
- Manage workload issues with team, proposing efficiency initiatives as necessary
- Identify exceptions to process to determine root cause and action plans for change
- Participate in System and Process Enhancement Process
- Review Staffing Requirements with their VP
- Oversee/Analyze effectiveness of OT within each respective team
- Ensure all client SLA’s are met or exceeded
- Proactive involvement with any client complaints for resolution and remediation
- Provide 1-on-1 training to the Managers, as Needed
- Manage time off for direct reports
- Prepare & Administer Performance Reviews for Manager
- Approve Promotions and Salary Increases for Manager positions
- Participate in Interview Process, as well as Termination Process with assistance from Human Resources
- Responsible for production and profitability of team to ensure company achieves its goals and objectives
- Review Training Report to ensure team is trained appropriately in all areas
- Prepare monthly/quarterly management reports
- Actively participate in capacity planning & management
- Foster cross functional team relationships between departments – internal & external
- Build and Maintain Morale within the team
- Maintain complete confidentiality and privacy of departmental matters
- Complete all assignments in a timely manner
- Act as a leader within the company
- All other duties assigned
What you will bring
- Bachelor’s degree or equivalent experience
- 3-5 years of Closing or Post Closing Experience
- Strong Customer Service Focus
- Clear Verbal and Written Communication Skills
- Ability to Work in Fast-Paced Environment and Meet Deadlines
- Self-Motivated: Ability to Work with Minimal Supervision
- Persuasive, Encouraging, Motivating Personality
- Strong Attention to Detail and Analytical skills
- Ability to work both Independently and as part of a Team
- Ability to solve problems as they arise.
Language Skills- Excellent written and verbal communication skills
- Ability to read, analyze and interpret common technical reports, and documentation
- Present information to executive and senior management teams, sales department, internal groups and/or clients
