Position Title: Executive Assistant to the COO
Location: Philadelphia, PA
Assignment Type: Contract
Hourly Pay Rate: $25-26/hr
Work Schedule: Monday – Friday, standard business hours
On-Site or Hybrid: Hybrid - 2-3 days in office

An Addison Group client is looking for an Executive Assistant to support the Chief Operating Officer and Operations team within a community services organization. This role will serve as a high-level administrative partner, supporting executive leadership, coordinating cross-functional operations, and managing projects, meetings, and communications in a fast-paced environment.
Job Responsibilities:
· Provide executive-level administrative support to the COO and Operations team
· Manage complex calendars, scheduling, travel arrangements, and meeting coordination
· Organize and facilitate in-person, hybrid, and virtual meetings, including agendas, presentations, and meeting minutes
· Process invoices, expense reports, reimbursements, and corporate credit card reconciliations
· Draft, format, proofread, and prepare reports, presentations, spreadsheets, and other business documents
· Support budgeting, strategic planning, onboarding/offboarding activities, and confidential reporting
· Coordinate committee meetings, maintain follow-up items, and track action items
· Assist with event planning, vendor coordination, consultant procurement, and office operations support
· Maintain shared team calendars, office procedures, and operational documentation
· Prepare special reports and support organization-wide initiatives and cross-departmental projects
Requirements:
· Bachelor’s degree preferred
· 4+ years of executive assistant or senior administrative support experience
· Experience supporting multiple leaders or departments simultaneously
· Strong proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and SharePoint
· Experience managing Zoom, Microsoft Teams, or other virtual meeting platforms
· Excellent organizational, communication, and problem-solving skills
· Ability to manage multiple priorities independently in a fast-paced environment
· Strong attention to detail and ability to handle confidential information with discretion
· Comfortable preparing reports, tracking data, and coordinating operational activities
