The proposed College of Osteopathic Medicine at Indiana University of Pennsylvania is seeking an Admissions Recruiting Specialist - Counselor (SUA2) to support the Director of Admissions and Student Affairs. This is a unique opportunity to be part of a supportive and energetic team. The Admissions Recruiting Specialist/Counselor plays a key role in building the inaugural classes of the Proposed College of Osteopathic Medicine at Indiana University of Pennsylvania (IUPCOM). This position supports the development and execution of strategic recruitment, outreach, and admissions operations aligned with the mission of osteopathic medicine and rural health in Pennsylvania. As part of a founding team, the Admissions Recruiting Specialist/Counselor will help establish recruitment processes, represent IUPCOM to prospective students and external partners, and contribute to creating an inclusive, student-centered admissions experience. ESSENTIAL DUTIES: Recruitment & Outreach
- Implement recruitment strategies designed to attract a diverse, qualified applicant pool committed to osteopathic principles and service to rural and underserved communities.
- Represent IUPCOM at recruitment events, college fairs, conferences, and pre-health advising events (in-person and virtual), including outreach to middle schools, high schools, and community-based events throughout Indiana County and neighboring counties.
- Build and maintain relationships with undergraduate institutions, pre-health advisors, pipeline programs, and community partners.
- Serve as a primary point of contact for prospective students, responding to inquiries and providing guidance throughout the application process.
- Collaborate with marketing and communications staff on recruitment materials, presentations, and messaging.
- Support day-to-day admissions processes, including application review coordination, interview logistics, and applicant communications.
- Assist with interview day planning, faculty and staff coordination, and applicant follow-up.
- Maintain accurate admissions data and reports using admissions and student information systems.
- Ensure admissions practices align with institutional policies, FERPA, and accreditation requirements.
- Provide input and recommendations to improve recruitment and admissions workflows as the program develops.
- Work closely with the Director of Admissions and Student Affairs to support admissions strategy, policy development, and enrollment goals.
- Coordinate with student affairs, faculty, and administrative offices to ensure a seamless transition from applicant to enrolled student.
- Participate in orientation, admitted student events, and other recruitment-related programming.
- Other duties as assigned.
- Bachelor's degree from an accredited institution.
- Experience in admissions, recruitment, enrollment management, or student services (preferably in higher education or health professions education).
- Outstanding interpersonal, communication, and presentation skills.
- Ability to manage multiple priorities, meet deadlines, and work both independently and collaboratively.
- Willingness to travel and work occasional evenings or weekends for recruitment events.
- Experience with medical, osteopathic, or health professions admissions.
- Familiarity with AACOMAS or centralized application services.
- Experience using CRM or student information systems (e.g., Slate, Banner, AMP).
- Knowledge of osteopathic medicine and commitment to rural health, diversity, equity, inclusion, and belonging.
- Experience supporting new or growing academic programs.
- Knowledge of higher education admissions, recruitment, and enrollment management practices, preferably within health professions or graduate education.
- Working knowledge of osteopathic medicine, medical education pathways, and the application process for prospective medical students, or the ability to quickly acquire such knowledge.
- Understanding of FERPA, ethical admissions practices, and confidentiality requirements.
- Awareness of diversity, equity, inclusion, and belonging principles as they relate to student recruitment and access to education.
- Familiarity with rural health workforce needs and pipeline development or demonstrated interest in supporting rural and underserved communities.
- Strong interpersonal and relationship-building skills with the ability to engage effectively with prospective students, families, advisors, faculty, and community partners.
- Excellent oral, written, and presentation skills, including the ability to represent the institution professionally at recruitment events and public forums.
- Effective organizational and time-management skills, with the ability to manage multiple priorities, deadlines, and projects simultaneously.
- Proficiency with admissions technologies, CRM systems, and student information systems, or the ability to learn new systems quickly.
- Analytical and problem-solving skills to support data-informed recruitment strategies and continuous improvement of admissions processes.
- Ability to work collaboratively as part of a cross-functional team while also exercising sound independent judgment.
- Ability to communicate complex information clearly and accurately to diverse audiences.
- Ability to establish trust and rapport with individuals from varied cultural, educational, and socioeconomic backgrounds.
- Ability to adapt to a fast-paced, evolving environment, particularly within a new or growing academic program.
- Ability to exercise discretion, professionalism, and sound judgment when handling sensitive information.
- Ability to travel, work evenings and weekends as needed, and represent the institution positively in external settings.
