ABOUT THE ROLE

As Fleet & Asset Coordinator, you'll own the tracking and status of every piece of equipment and machinery across Eastern's operations. This is primarily an office and phone-based role — you're the person who always knows where everything is, what condition it's in, when it's due for service, and who needs to be called.

You'll work directly with our shop foreman at our Norristown facility, supplying the data and vendor coordination that drives the yard's day-to-day priorities. Think of yourself as the system of record for our entire fleet — the foreman executes, and you make sure he has what he needs to do it.

If you're highly organized, great with multiple software platforms, and you like building clean systems around things that are constantly moving, this role was built for you.

WHAT YOU'LL OWN

Equipment Tracking & Status

• Maintain a real-time inventory of all equipment across divisions: trucks, wheel loaders, skid steers, trailers, plows, and other machinery
• Track the location and deployment of every asset across job sites, the Norristown shop, and satellite locations
• Monitor equipment condition and proactively flag items that need attention before they become problems
• Manage all asset documentation: registrations, titles, inspection records, and certifications

Maintenance Coordination

• Work closely with the shop foreman to keep preventive maintenance schedules current and on track
• Coordinate with outside vendors and service providers for repairs, inspections, and parts
• Follow up to confirm work is completed on time and costs are captured accurately

Vendor & Procurement Support

• Maintain working relationships with dealers, vendors, and service providers
• Gather quotes, compare options, and bring recommendations to ownership for equipment purchases, rentals, or disposals
• Track warranties, lease terms, and financing agreements across the fleet

Reporting & Documentation

• Keep leadership informed with regular updates on equipment status, upcoming service needs, and cost trends
• Track maintenance and repair costs per asset so we always know what each machine is costing us
• Maintain clean, accessible records that the shop team and management can reference at any time

WHAT WE'RE LOOKING FOR

• Highly organized with sharp attention to detail — nothing falls through the cracks on your watch
• Comfortable on the phone and in email with vendors, dealers, and service providers
• Proficient in Excel or Google Sheets; experience with fleet or asset tracking software is a plus
• Able to read and understand basic equipment documentation and service records
• Familiarity with heavy equipment (trucks, loaders, skid steers, snow equipment) is helpful — we'll get you up to speed on the rest
• 1–3 years of experience in operations coordination, logistics, fleet support, or a related field; recent grads with relevant coursework or internship experience are encouraged to apply
