Scheduling Assistant II

The Scheduling Assistant II will serve as the central point of contact for all incoming customer communications, ensuring efficient handling of inquiries and providing support throughout the job scheduling process. This role involves addressing customer concerns, assisting schedulers, and maintaining detailed logs of communications. The position requires strong organizational skills and the ability to provide clear guidance to customers.
Responsibilities:
- Serve as the central point of contact for all incoming customer calls and emails.
- Address customer questions and concerns to the best of your ability.
- Delegate inquiries to the appropriate individual or group if unable to address directly.
- Log customer calls and provide weekly reports.
- Assist schedulers with proactive customer contacts throughout the job scheduling process.
- Provide clear guidance to customers on pre-job requirements, such as inspection due dates, physical work to be completed, setting up new meter accounts, etc.
- Schedule customer appointments and issue reminders/confirmations.
- Maintain a log of all communications and report out weekly.
- Assist in creating work packets and processing bundled job cards.
- Remove job holds once verified.
- Create IVR appointments and assist in work order closeout.
- Schedule temporary disconnects as needed.
- Investigate property damage claims and schedule work if liability is determined.
- Strong communication and customer service skills.
- Ability to manage and prioritize multiple tasks effectively.
- Proficiency in logging and reporting customer communications.
- Experience in scheduling and coordinating appointments.
- Attention to detail and ability to follow up on job requirements.
- Familiarity with work order processes and scheduling systems is a plus.
- Ability to work collaboratively with schedulers and other team members.

The specific compensation for this position will be determined by several factors, including the scope, complexity, and location of the role, as well as the cost of labor in the market; the skills, education, training, credentials, and experience of the candidate; and other conditions of employment.
