Position Summary Information
Position Purpose
This position provides high volume and skilled work utilizing a variety of industrial printing and mailing equipment as well as commercial, digital and computerized equipment in the operation of the University’s centralized mailroom and print shop. The role ensures timely, efficient, and compliant processing, production, and distribution of mail, print materials, and packages while maintaining superior customer service and adherence to postal regulations and university policies.
Description of Duties
Print Services Operations (35%)
- Operates machinery, such as paper cutters, paper drills, hole punches, stitchers, binding and banding, and folders.
- Assists in the operation of a variety of high-speed, production level presses producing a variety of forms, letters, manuals, brochures, pamphlets, posters, signs, and other documents and materials.
- Performs high volume copying for internal and external customers per their specifications.
- Performs routine maintenance, adjustments and minor repairs to the equipment.
- Performs a variety of document procession activities including the verification of information, arithmetic calculations, and appropriate coding work order requests.
- Prepares work assignments according to work order requests, examining workflow and prioritizing assignments, arranging jobs by way of computer, layout jobs as needed, proofreads materials, for grammatically and typographically correct and complete jobs.
- Ensures all exams are picked up or delivered.
- Demonstrates continuous efforts to improve operations, decrease turnaround times, streamline process, and work cooperatively to provide a climate of quality customer service and economic efficiencies.
Mail Services Operations (35%)
- Collects, sorts, and delivers incoming, outgoing, and interdepartmental mail; manage university vehicle use for mail transport.
- Operates mail processing and metering equipment; process all classes of mail including express, certified, insured, international, and bulk mailings.
- Monitors postage meter, bulk mailing, permit 92, business reply accounts and replenishes as needed.
- Maintains records for postage meters, permit accounts, business reply mail, and monthly financial reconciliations.
- Manages bulk mailing processes for university departments and complete USPS 3602-NZ forms for nonprofit standard mailings.
- Oversees package tracking and notifications through the Brynka system, ensuring secure storage and accurate delivery.
- Maintains effective working relationships with USPS, FedEx, UPS, and campus departments.
Administrative and Financial Duties (30%)
- Schedules student workers hours in order to have adequate coverage in the department and tracks hours to remain within budget.
- Orders supplies and maintain adequate inventory levels for mail and print operations.
- Maintains and updates the Mail and Print Services website and departmental documentation.
Decision Making
- Responsible for operational decisions affecting daily mail and print services, including problem resolution, scheduling, prioritization, and resource allocation.
- Independently determines workflow and methods to ensure service standards are met.
Fiscal Responsibility
- Monitors and maintains postage and chargeback accounts, ensures accurate cost center allocations, and develops cost-effective initiatives to support departmental sustainability and growth.
Supervisory Responsibility
- Oversees hiring, supervision and training of student office staff
Minimum Requirements Profile
One year as a Mail Production Assistant;
OR
One year of clerical experience;
OR
an equivalent combination of experience and training.
A valid Pennsylvania driver’s license is required.
Preferred Qualifications
Strong communication, organizational, and problem-solving skills.
Proficiency in Microsoft Excel, mail tracking systems (e.g., Brynka), and Pitney Bowes SendPro.

- Ability to perform basic mathematical calculations and prepare summary reports.
- Ability to lift up to 50 pounds and perform physical tasks associated with mail and print distribution.
- Strong communication, organizational, and problem-solving skills.

Background Clearances
Offers of employment are conditional, pending successful completion of the background clearances mandated by Act 153 of 2014 and Board of Governors Policy 2014-01-A: Protection of Minors.
