Offsite Events Coordinator (Animal Shelter)
With more than 18,000 animals entering ACCT Philly every year, the Offsite Events Coordinator is a key part of finding placement for cats and dogs through offsite adoption and promotional events. The Offsite Events Coordinator is responsible for the set-up and coordination of offsite event locations, and promoting ACCT Philly’s programs and services. They are responsible for providing a warm, customer service and animal welfare focused approach to helping people and pets find their perfect match, and educating the public about ACCT Philly and its mission. ACCT Philly believes in finding responsible placement for animals through a people positive, same day adoption experience, and the Offsite Event Coordinator ensures that each client at every offsite event leaves feeling satisfied about their interaction with our organization.
Event Management:
● Coordinate adoption events, street fairs, and other special promotional events that have a heavy adoption focus
● Organize and manage development and corporate outreach events
● Assist in reviewing event requests and liaise with prospective event hosts/venues and serve as the main point of contact
● Perform strategic outreach to area organizations to promote events
● Submission of permits, licenses, etc. to local councils/townships as needed
● Develop and maintain a calendar of upcoming events, and in coordination with the foster team, Communications Coordinator, Volunteer Manager, and Community Support and Outreach Manager, promote those events to fosters, volunteers, and the general public.
● Recruit and schedule volunteers for all events in coordination with the Volunteer Manager; develop core volunteer events team
● Serve as point of contact for volunteers and staff at events
● Select shelter pets to attend offsite events and coordinate with the medical team to ensure the animals are ready to attend
● Coordinate with the foster team to organize attendance of fosters and foster pets at events and processing of foster adoptions at offsite locations
● Prepare and maintain essential event supplies
● Coordinate packing, set up, and break down of all offsite events
● Proactively engage with community members and adopters at events
● Track and manage key information on public, foster, and volunteer attendance and other data as needed to build the program
Offsite animal habitats:
● Oversee the placement of cats at offsite cat adoption centers in coordination with volunteers and the foster team
● Develop relationships with offsite adoption locations and perform outreach to other local organizations to expand the offsite adoption program
● Recruit and schedule volunteers for all offsite locations in coordination with the Volunteer Manager; train and develop core offsite volunteer team to support offsite locations and adoptions
● Find alternative placement for offsite animals in case of store closings/holidays/emergencies
● Coordinate with medical team to ensure cats are properly vetted
● Transport animals in the organization's vehicle to offsite locations, or coordinate with volunteers for transport as needed.
● Counsel potential adopters and guide the selection of an animal based on household members, other resident animals, level of activity, physical environment, and other considering factors. Process offsite adoptions in coordination with volunteers
● Develop and implement strategies to increase adoptions at grant funded adoption locations to meet grant requirements and qualify for rewards
● Support placement of dogs at offsite locations in coordination with relevant staff
● Other duties as assigned
Qualifications
Cares about animals and wants to help animals in need find responsible placement. Possesses exceptional interpersonal skills and genuinely enjoys and interacting with people of all cultures, socio-economic backgrounds, practices non-judgmental communication; is able to remain calm even when faced with individuals who may be emotionally escalated; excellent written and oral communication; has exceptional organizational skills and attention to detail, even when switching between tasks and priorities; treats animals and people with respect; strong problem solving skills, focusing on finding solutions to problems and challenges; demonstrates maturity and good judgment; is comfortable and able to work with animals of varying species, size, health status, and temperaments; ability to lift and move up to 50lbs. Proficient in Microsoft Office and G Suite. Valid drivers license required with access to a reliable vehicle and clean driving record.
Education and Work Experience
High school diploma or GED required, Bachelor’s degree preferred; At least 2 years of event planning/management experience required, preferably in the animal rescue/sheltering field; At least one year of animal shelter or rescue experience required, with experience handling a variety of animals.
Work Environment
While ACCT Philly operates 24/7, it is currently open to the public 10am to 6pm daily including on
weekends and holidays, and may have as many as 300 interactions with the public in a given day,
including with volunteers and rescue partners. The shelter operates at a fast pace and experiences rapid turnover of clients. While performing the duties of the job, employees are frequently exposed to animal odors and high levels of animal noise.
Hours/Status
Work schedule including days and hours may vary according to the needs of the organization, may include weekends, nights, and holidays. This is a full-time position, averaging a minimum of 8 hours per day, 40 hours per week. This position is FLSA non-exempt status and eligible for overtime.
Compensation
$47,000-$50,000
