Administrative Assistant
The Administrative Assistant provides high-level administrative support to ensure efficient functioning of the Provider Operations Department. This role involves the management of a variety of tasks including scheduling, communication, document preparation, scanning files, quality assurance activities and coordination of office activities.
Essential Functions:
- Provide administrative support to Provider Operations leadership
- Manage calendars, schedule meetings, take minutes and track action items
- Prepare and edit correspondence, reports, and presentations.
- Maintain and organize filing systems (electronic), including scanning documents
- Quality assurance activities to include but not limited to, reviewing Provider Contracts, Provider Directory and Provider Manual.
- Support office operations including ordering supplies.
- Coordinate internal and external meetings, including logistics and materials.
- Maintain confidentiality of sensitive information.
- Perform other administrative tasks as assigned.
Position Requirements:
- Education: High school diploma or equivalent.
- License/Certification: N/A
- Relevant Work Experience: At least year of administrative or office support experience.
Skills:
- Proficiency with Microsoft Office (Outlook, Excel, Word)
- Excellent organizational skills and attention to detail
- Knowledge of Medicaid Program
- Strong written and verbal communication
- Excellent time management and follow up skills
- Customer service mindset
- Ability to work independently and as part of a team
- Ability to maintain confidentiality and appropriately share information on a need-to-know basis

Work Conditions:
- Regularly requires walking, standing, stooping, bending, sitting, reaching, pushing, pulling and/or repetitive wrist/hand movements for various lengths of time throughout the day.
- Ability to utilize computers and office equipment to complete daily work responsibilities.
- Requires continuous, normal hearing and vision.
- Regularly works inside in areas that are adequately lighted and ventilated. Some fluctuation in temperature. No protective equipment routinely needed.
- Must be able to adapt to continuous changes/demands of the job.
Philadelphia Residency Requirement:
- The successful candidate must be a current Philadelphia resident or become a resident within six months of hire.
