Position Overview:
We are seeking a detail-oriented and proactive Administrative Assistant to support our leasing and operations teams. The ideal candidate will play a key role in ensuring efficient office operations, assisting in customer relations, and maintaining organized records. Key Responsibilities:
Administrative Support:
- Provide general administrative support to the leasing and property management teams.
- Manage correspondence, including emails, phone calls, and mail.
- Schedule and coordinate meetings, appointments, and property viewings.
- Maintain and organize physical and digital filing systems.
Tenant Relations:
- Assist in onboarding new tenants by preparing lease agreements and welcome packets.
- Respond to tenant inquiries and requests efficiently and professionally.
- Coordinate maintenance requests and follow up with service providers.
Record Keeping:
- Assist in maintaining accurate and up-to-date records of lease agreements, tenant information, and property details.
- Prepare and track invoices, payments, and financial documentation.
- Generate reports related to leasing activity, property maintenance, and tenant interactions as needed.
Office Management:
- Order and manage office supplies and ensure common areas are well-maintained.
- Assist in the implementation of office procedures and policies to enhance efficiency.
- Collaborate with team members to support various projects and initiatives.
Qualifications:
- High school diploma or equivalent; associate’s or bachelor’s degree in business administration or related field preferred.
- Proven experience in an administrative role, preferably in real estate, property management, or leasing.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with property management software is a plus.
- A team player with a positive attitude and willingness to learn.
