Administrative Assistant

System One has partnered with a dynamic engineering office in Pittsburgh that is seeking a proactive and detail-oriented Administrative Assistant to support daily operations and team activities. This role is ideal for someone who thrives in a fast-paced environment, enjoys variety in their workday, and values professionalism and confidentiality.



Key Responsibilities:

• Provide administrative support to engineering and leadership teams, including document tracking, spreadsheet creation, and digital file organization

• Assist with onboarding tasks such as coordinating drug screenings, preparing welcome kits, and ensuring workspace readiness

• Help prepare expense reports for management when needed

• Schedule meetings, coordinate travel arrangements, and organize catering for internal and external events

• Manage office supply inventory and liaise with building maintenance for facility needs

• Handle incoming and outgoing mail, packages, and courier services

• Serve as the first point of contact for visitors and incoming calls, directing inquiries appropriately

• Maintain cleanliness and organization in shared kitchen and common areas

• Participate in planning and executing office events and activities

• Take on additional administrative tasks as needed to support the team

Qualifications:

• Minimum of 2 years’ experience in administrative support or office coordination

• Proficiency in Microsoft Outlook, Word, and Excel (including spreadsheet creation and data sorting)

• Strong communication skills and a commitment to confidentiality

• Exceptional attention to detail and organizational abilities

• Capable of juggling multiple priorities and meeting deadlines with a positive attitude

• Willingness to assist wherever needed and provide excellent internal customer service

• Professional appearance and demeanor
