Account Receivables Clerk

 The Accounts Receivable (AR) / Sales Coordinator serves as the operational link between sales and finance, overseeing accurate invoicing, prompt payment processing, and day-to-day management of customer accounts. The role supports both cash-flow optimization and sales effectiveness by coordinating with sales teams, finance staff, and customers to resolve billing discrepancies, manage credit reviews, and ensure proper recording of revenue.

Essential Job Functions
The essential duties and responsibilities for this position include, but are not limited to, the following:

· Assist in approving and creating new customer accounts, including verification of credit checks, setting up terms for billing, and choosing credit limits.

· Maintain accurate client information in all operational and accounting systems.

· Review supporting documentation for accuracy, generate customer invoices, and ensure proper posting to the relevant accounting ledgers. Prepare and analyze AR aging reports, proactively following up on outstanding receivables to ensure timely collections. 

· Perform daily collection calls, reconcile customer accounts, and research deductions or billing disputes.

· Identify delinquent customer accounts and collaborate with sales team on approach.

· Prepare reports for weekly reporting, monthly close activities, and annual financial requirements in compliance with GAAP.

· Research and resolve customer accounts receivable/invoice/payment discrepancies, coordinating with sales, operations, and finance as needed. Post timely customer payments by recording accurate information as outlined in standard operating procedures.

· Investigate and resolve payment discrepancies, short pays, and chargebacks.

· Maintain timely, accurate, and complete cash receipts journals.

· Follow Good Manufacturing Practices (GMPs).

· Maintain a safe and healthy work environment by following standards and procedures, complying with legal codes and regulations.

· Report any potential Food Safety issues to management immediately.

· Report any damages to company vehicles, equipment, and buildings via maintenance work order software program through lead or manager.

· Report any animal welfare related issues to management immediately.

· Maintain regular and punctual attendance.

· Comply with all company policies and procedures.

Minimum Required Qualifications
The minimum required qualifications for this position include, but are not limited to, the following:

· AA or BS/BA degree in Accounting or related field.

· Minimum 2 years of equivalent accounting/billing experience required; manufacturing facility preferred.

· Strong organizational, analytical, and problem-solving abilities in basic accounts receivable and accounting policy.

· Strong understanding of the order-to-cash cycle and basic account principles, 

· Ability to independently make decisions with minimum supervision.

· Strong communication skills with the ability to collaborate cross-functionally.

· Ability to legibly write entries for record keeping.

· Ability to handle and follow through on multiple projects simultaneously.

· Exceptional computer skills: working knowledge of Excel, Word and PowerPoint.

· Strong teamwork skills with a willingness to assist others.

· Ability to work in a fast-paced environment.

· Ability to satisfy all assigned work schedules and comply with all time and attendance policies.

· Ability to comply with all company policies and procedures.

Physical Demands
The physical requirements/environmental factors for this position include, but are not limited to, the following:

· Must be able to routinely use standard office equipment such as computers, phones, copiers, etc.

· Must be able to sit for extended periods of time.

· Ability to walk, bend, reach, and stoop frequently.

· Ability to lift up to 20 lbs. occasionally.

· Ability to safely ascend/descend stairs constantly.

· Ability to work in wide range of working conditions including office, warehouse, production floors, and live operation barns.

· Conditions of production floor, warehouse and live operation barns maybe cold, wet, loud and PPE is required.
