Position Overview

T.H.R.I.V.E. is seeking a highly organized and proactive Residential Programs Scheduling Coordinator to support the delivery of high-quality, person-centered services for adults receiving residential supports. This role is critical in ensuring consistent staffing coverage across 18 residential service locations while maintaining a strong focus on continuity of care, staff accountability, and operational efficiency.

The ideal candidate thrives in a fast-paced environment, is detail-oriented, and is passionate about supporting individuals with diverse needs through effective coordination and team collaboration.

Key Responsibilities

Scheduling & Staffing Coordination

  • Develop, manage, and maintain staff schedules for all residential service locations.
  • Ensure full staffing coverage across all homes, minimizing gaps and last-minute call-offs.
  • Proactively adjust schedules to address vacancies, call-offs, and changing participant needs.
  • Monitor and manage overtime, working to reduce unnecessary labor costs while maintaining safe staffing levels.
  • Coordinate with program leadership and DSPs to ensure adequate coverage for all shifts.

Continuity of Care

  • Ensure consistency in staffing assignments to promote relationship-building and stability for individuals served.
  • Collaborate with supervisors to align staffing patterns with participant needs and preferences.
  • Respond quickly to emergencies or staffing shortages to maintain uninterrupted support.

Quality Assurance & Field Support

  • Conduct routine visits to residential homes to observe and support Direct Support Professionals (DSPs).
  • Ensure staff are meeting expectations related to service delivery, professionalism, and person-centered care.
  • Provide real-time feedback and communicate concerns or successes to program leadership.
  • Support onboarding staff with schedule understanding and expectations.

Communication & Collaboration

  • Serve as a central point of contact for scheduling-related communication.
  • Maintain clear and timely communication with DSPs, supervisors, and leadership.
  • Document scheduling changes and staffing issues accurately.
  • Assist in identifying staffing trends and recommending improvements.

Qualifications

  • High school diploma required; Associate’s or Bachelor’s degree in Human Services, Business, or related field preferred.
  • Minimum of 4 years of experience in scheduling, staffing coordination, or human services.
  • Experience in residential services or working with individuals with intellectual/developmental disabilities strongly preferred.
  • Strong organizational and time management skills with the ability to multitask.
  • Ability to problem-solve quickly and make decisions under pressure.
  • Excellent communication and interpersonal skills.
  • Proficiency with scheduling software and Microsoft Office (Excel, Outlook).
  • Valid driver’s license and ability to travel between residential locations.
