Job Summary
This position is responsible for administrative assistance and secretarial support through effectively maintaining a close and highly responsive relationship to the day-to-day activities of the department.
Job Description
Key Roles & Responsibilities

Performs complex secretarial duties, often of sensitive or confidential nature, utilizing available resources to ensure efficient office organization.

Performs administrative assistance in scheduling travel, meetings, and meeting facilities to ensure efficient utilization of personnel and site resources; arranges and coordinates division meetings.

Performs administrative assistance in preparing expense reports, serving as custodian of departmental credit cards; reconciles invoices; and recommends approval by managers; develops, maintains and reports division records as assigned.

Participate in special projects and committees as assigned.

Develop and maintain electronic files for administrative and project work; operate scanning equipment to facilitate filing of non-electronic documents.

Comply with safety policy and procedures to ensure a safe working environment.

Capable of utilizing spreadsheet, database, presentation and other software to develop reports and presentations.
Education, Experiences & Skill Requirements
-
High school diploma or GED and seven years secretarial experience.

Proficient skills in word processing, spreadsheet, presentation software
-
Experience in coordination of meetings and seminars, budget reports, technical reports, file coordination and handling confidential material.

Excellent communication, organizational and interpersonal skills.
