Role Overview
We’re looking for a highly organized, detail-oriented Administrative Assistant to support day-to-day operations. This role is perfect for someone who loves keeping things on track, communicating with teams, and building systems that help creative projects run smoothly.

Key Responsibilities

  • Manage and track invoices, deposits, and payment follow-ups (QuickBooks)
  • Send contracts and onboarding documents (SignWell)
  • Coordinate schedules for mural projects, travel, and team logistics
  • Communicate with clients to confirm timelines, project details, and expectations
  • Organize and maintain digital files, folders, and SOPs
  • Assist with onboarding new contractors (collect W9s, contact info, etc.)
  • Help track project budgets, expenses, and receipts
  • Support internal systems and help improve workflows over time

Preferred Experience

  • Experience with QuickBooks
  • Background in admin, operations, or project coordination
  • Experience working with creative teams or small businesses
  • Familiarity with Google Drive organization and workflow systems

Compensation & Details

  • Starting hourly rate: $18–$25/hour (based on experience)
  • Flexible schedule (10–20 hours/week to start)
  • Opportunity to grow into a larger operations role
  • Occasional travel coordination (not required to travel)
