About the Role
We’re on the hunt for a master organizer—a detail-driven, big-picture thinker who thrives in a fast-paced creative studio. If you love puzzles, schedules, and finding the perfect rhythm to keep a team moving, this is your dream role. As the timekeeper
and traffic controller, you’ll keep project timelines on track, ensure task hours stay within budget, and spot potential roadblocks before they derail a project.
While you won’t be designing, you’ll be central to every project’s success. You’ll support the CEO and project managers by tracking workflow, reviewing project profitability, and keeping operations running smoothly so our creative team can focus on what they do best. Your ability to project and forecast to implement pivots in real time will keep everyone on track and the creativity flowing. You will have daily check-ins with the team to ensure you manage expectations and keep all project details as expected.
This role is for you if you see scheduling like Tetris and always find the perfect fit, love keeping projects (and people) on time, and enjoy following up to make sure “done” really means done. Key Responsibilities
- Own and maintain schedules across all active projects, ensuring team members meet milestones and budget expectations.
- Manages our daily hot sheet of projects on google docs
- Monitor and report on project hours, flagging any scope concerns or possible overages.
- Support CEO and project managers with internal coordination of tasks and day-to-day needs.
- Coordinate internal team communications and reminders related to project deliverables, check-ins, and deadlines.
- Review budgets and estimates against hours spent and look at how we can do better with each project to create efficiencies.
- Foster positive communication across diverse personalities and roles in the studio. Spot roadblocks in advance.
- Juggle projects while working with multiple teams to re-direct in order to best meet deadlines or note when additional resources will be needed.
Qualifications
- Bachelor's degree preferred (Communications, Marketing, Design, Business,
or similar).
- 2–4 years of experience in a creative agency or related field (internships count).
- Exceptional organizational skills and time management abilities.
- Strong attention to detail, with an ability to juggle multiple priorities.
- Must be a strategic thinker.
- Friendly, positive, and collaborative team spirit.
- Familiarity with project management tools (Harvest and Teamwork) is helpful, but not required.
