Position Overview

The Patient Care Coordinator serves as the first point of contact for our patients and plays a critical role in creating a welcoming, organized, and positive experience. This individual will manage scheduling, patient communication, financial coordination, and administrative tasks while supporting overall practice operations.

Key Responsibilities

Patient Experience

• Greet patients warmly and ensure a smooth check-in/check-out process
• Answer phones professionally and manage patient inquiries
• Confirm appointments and manage schedule flow
• Follow up with unscheduled treatment and recall patients
• Address patient concerns with empathy and professionalism

Scheduling & Operations

• Optimize provider schedules to maximize productivity
• Manage cancellations and same-day openings
• Coordinate new patient onboarding
• Maintain accurate patient records

Financial Coordination

• Verify insurance benefits and eligibility
• Present treatment plans and financial options
• Collect co-pays and balances
• Process payments and maintain accurate documentation

Administrative Support

• Maintain HIPAA compliance and confidentiality
• Support team communication and workflow efficiency
• Assist with reporting and basic KPI tracking

Qualifications

Required:

• 1+ year experience in a dental
• Strong communication and customer service skills
• Organized, detail-oriented, and dependable
• Comfortable discussing finances and insurance
• Proficient with dental practice management software

Preferred:

• Experience with CareStack, Dentrix, Eaglesoft, or similar systems
• Knowledge of dental terminology and insurance processes
• Bilingual is a plus
