Job Summary

We are a small energy efficiency business seeking a motivated and outgoing Program Support Specialist to join our team. In this role, you will provide support to our Operations Manager, field Manager & executive team: ensuring all customers recieve attention and care. Your responsibilities will include answering phone calls, scheduling phone appointments, data entry, and general office responsibilities. The ideal candidate is highly detailed with excellent written and verbal communication skills and a friendly demeanor. Bilingual in Spanish a plus.

Responsibilities

• Answer incoming phone calls and route them to the appropriate person
• Communicate via phone, email and text regarding appointments
• Schedule appointments and maintain a calendar using Insightly and other calendar platforms
• Organize the calendar and take accurate and descriptive notes
• Contribute to company needs as they arrive
• Collaborate with other team members
• Maintain an organized filing system
• Prepare documents and folders for work appointments
• Develop, update, and maintain relevant office procedures
• Ensure correct data entry on invoices

Qualifications

• High school diploma/GED required, Associate’s degree or administrative training is preferred
• Previous experience as an Administrative Assistant or in a similar position
• Familiarity with standard office equipment such as printers & Mac systems
• Excellent computer skills and knowledge of Outlook, Teams, Excel.
• Self- starter & quick learner
• Highly organized with excellent time management skills and the ability to prioritize projects and tasks.
• Ideal Candidate speaks Spanish
• Ideal candidate is able to pass a background check, driving record check, as well as pre-employment drug & alcohol screening.
• Must agree to confidentiality agreement pertaining to our business.

SETTING:

• Small construction office setting located in Freemansburg PA
• M-F schedule
• 8am-4:30pm
