Job Description
We are seeking a highly organized and customer-focused Front Desk Secretary / Administrative Assistant to serve as the first point of contact for visitors and callers, while providing essential support to purchasing, quoting, and job material coordination. This role is vital to maintaining smooth office operations and supporting customer service and procurement functions.
Responsibilities
- Greet and assist visitors, answer incoming calls, and direct inquiries appropriately.
- Process customer orders, ensuring accuracy and timely entry into the system.
- Assist with preparing and sending quotes to customers and support purchasing activities by creating purchase orders, tracking deliveries, and maintaining vendor communication.
- Coordinate job materials, ensuring proper documentation and timely availability for production or service teams.
- Maintain organized records of customer interactions, orders, quotes, and materials.
- Perform general administrative duties such as filing, data entry, scheduling, and document preparation.
- Collaborate with internal departments to ensure customer and job requirements are met efficiently.
- Monitor office supplies and reorder as needed.
Essential Skills
- 2+ years of experience in administrative support, customer service, or purchasing.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- High school diploma or equivalent; associate degree or higher preferred.
- Experience with ERP or order management systems is a plus.
- Experience in a manufacturing or industrial setting.
- Familiarity with quoting and purchasing processes.
- Knowledge of inventory or job tracking systems.
Work Environment
This position requires working 90% in the office and 10% on the floor. The working hours are Monday to Friday, 8:00 AM to 4:30 PM, totaling 40 hours a week.

This is a Contract to Hire position based out of Somerset, PA.
Pay and Benefits
The pay range for this position is $17.00 - $21.00/hr.
