Salary: $22.00/hr - $24.00/hr
The Receptionist/Secretary position is a full-time 8am to 4pm (Monday through Friday) position responsible for managing administrative duties and welcoming all individuals to the community.
Responsibilities:
- Greeting visitors and directing them to appropriate location;
- Answering telephones and directing caller to appropriate individual;
- Maintaining daily schedules for Executive Director and leadership team;
- Managing schedule for meeting rooms;
- Receiving inquiries and providing information to callers and visitors to the facility;
- Maintaining resident directory and current listing of emergency phone numbers and office/department extensions;
- Sorting, distributing, and routing incoming mail to residents and staff; ensuring outgoing mail is prepared for pick-up;
- Reporting suspicious information immediately to supervisors;
- Maintaining files and other records as requested by Executive Director;
- Coordinating meetings, conferences, and other special events as directed by the Executive Director;
- Receiving payments on accounts and issue/mail receipts as assigned;
- Maintaining office supplies and equipment within approved budget guidelines;
- Preparing and mailing statements, letters, and other correspondence as directed by the Executive Director;
- Assisting in bookkeeping, payroll, and other administrative functions as assigned;
- Participating in facility surveys, as required;
- Following UCC Homes policies, Code of Conduct, HIPAA guidelines, and residents' rights;
- Creating an atmosphere of warmth, personal interest, and positivity;
- Carrying out other duties as necessary and appropriate.
Requirements:
- High school diploma or equivalency
- Experience as a Receptionist/Secretary
- Experience working in a long-term care/retirement community is preferred
- Proficiency/experience in Microsoft Office platforms (Word, Excel, etc.)
- Proficiency/experience in spreadsheet and database management
- Exceptional communication and organizational skills
- Ability to deal tactfully with personnel, residents, family members, visitors, government personnel, and the general public
- Ability to manage multiple priorities simultaneously and calmly
- Consistent poise, helpfulness, and respect for others
