The Legal Assistant is responsible for the maintenance and organization of files as well as other administrative duties.
Duties & Responsibilities:
- Perform general office duties, such as typing, answering telephones, and operating a variety of office machines.
- Scan materials and upload supporting documentation into case management system or other designated locations.
- Sort incoming records by identifying, indexing, and filing documents under their respective client and matter numbers.
- Provide administrative support to the legal team such as copying and faxing.
- Search for and investigate information contained in files, keep files current, and supply information from file data or remove files upon request.
- Assumes responsibility for maintaining the highest level of confidentiality of all firm records and files.
- Request and obtain fee approvals from clients and investors.
- Coordinate the filing of motions with internal departments the Courts. Electronic filings as well as paper filings to be filed/docketed with the courts.
- Enter data into firm and clients case management system
- Communicate with homeowners and their authorized representatives (attorney, real estate agent, power-of-attorney) regarding the status of their case.
- Provide accurate figures for payoff and reinstatement quotes and draft statements for firm attorney review and approval
- Accurately provide outstanding fees and costs via firm case management system ledger review
- Performs other duties as assigned.
Qualifications
- High School Graduate or equivalent
- Minimum of 1-2 years in a busy office environment, prior law firm experience strongly preferred.
- Ability to multi-task in a fast-paced work environment
- Excellent communication skills; both written and verbal
- Possess strong computer skills: Microsoft Office Suite, as well as a general understanding of software systems to access and utilize firm’s case management and client systems.
- A team player who is focused on providing exemplary customer service.
- Dependable, punctual, and reliable

While performing the duties of this job, the employee is usually required to sit, reach with hands occasionally required to stand, walk, lift, talk and hear and frequently required to sit, reach with hands and touch. Specific vision abilities required by this job include close vision and ability to adjust focus.
Work Environment
The work environment characteristics described are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of the job, the employee is usually in an indoor office environment. The noise level in the work environment is usually moderate.
