Position Summary

We are seeking a highly organized and proactive Administrative Assistant to provide essential support to our team. This role is key in ensuring efficient office operations, managing communications, and assisting with day-to-day administrative tasks. The ideal candidate is detail-oriented, resourceful, and comfortable handling a wide range of responsibilities in a fast-paced environment.

Key Responsibilities

  • Serve as the first point of contact for phone calls, emails, and visitors.

  • Schedule and coordinate meetings, appointments, and travel arrangements.

  • Prepare, format, and proofread documents, reports, and presentations.

  • Maintain and organize electronic and paper filing systems.

  • Handle incoming and outgoing mail and deliveries.

  • Track office supplies and place orders as needed.

  • Support bookkeeping, expense reports, and basic data entry tasks.

  • Assist with HR functions such as onboarding paperwork and scheduling interviews.

  • Collaborate with team members to improve administrative processes and efficiency.

  • Perform other related duties as assigned.

Qualifications

  • High school diploma or equivalent (Associate’s or Bachelor’s degree preferred).

  • Proven experience as an administrative assistant, office assistant, or similar role.

  • Proficiency with MS Office Suite (Word, Excel, PowerPoint, Outlook) and office equipment.

  • Strong written and verbal communication skills.

  • Excellent organizational skills and attention to detail.

  • Ability to handle confidential information with discretion.

  • Strong time-management and multitasking abilities.
