Upper School Athletics Assistant

Upper School Athletics Assistant
Wyoming Seminary College Preparatory School seeks an Assistant in the Athletic Department. The Athletics Assistant will be responsible for providing administrative support to the Athletic Department. The assistant will work in tandem with the Athletic Director and the Associate Athletic Director. This is a full-time position.

Responsibilities
- Administrative & Operational Support
- Work closely with the Athletic Director and Associate AD on daily operations; attend department meetings and act as a liaison for the Admissions, Academic, and Business offices.
- Assist in preparing departmental policies; manage PIAA eligibility lists, team rosters, and the Transfer Waiver Request process for new upperclassmen.
- Maintain records for coaching staff, including annual certifications and general compliance tracking.
- Track invoices and payments; manage the ordering of gear, uniforms, and equipment for all athletic teams.
Scheduling & Logistics
- Manage Schedule Star/Big Teams/Arbiter for all league, exhibition, and scrimmage information; communicate updates to coaches and school departments.
- Oversee the master athletic calendar, practice schedules, and facility usage requests.
- Secure bus transportation for all away games and communicate schedules to providers.
- Prepare official contracts for home games and provide on-site support to coaches for scheduled events.
Transportation & Fleet Management
- Manage the school van fleet, including keys, scheduling via the Help Desk, and coordinating maintenance/inspections with Facilities.
Communications & Media
- Coordinate with PR/Communications for social media updates and weekly email newsletters; update scores on MaxPreps and other reporting platforms.
- Serve as the primary contact for the NFHS Network, including scheduling home events across three venues and managing service tickets.
- Communicate early dismissal schedules for student-athletes to the Academic Office.
Equipment & Awards
- Manage the distribution, collection, and annual inventory of all equipment and uniforms.
- Track varsity/JV letterwinners and coordinate with vendors to produce athletic and graduation awards.
Qualifications
- Previous experience in a sports management or administrative role, preferably within a PIAA or high school setting.
- Exceptional written and verbal communication skills for interacting with coaches, parents, and school leadership.
- Ability to multitask in a fast-paced environment with high attention to detail regarding compliance and scheduling.
- A team-player mindset capable of working across multiple departments.
- Flexibility to work occasionally during evening or weekend athletic events as needed.
