Office Manager
West View United Methodist Church is seeking a dependable, organized, and detail-oriented Part-Time Office Manager to support the administrative and communication needs of our church community. This part-time role is central to the smooth day-to-day operation of the church office and serves as a key point of contact for members, visitors, and ministry leaders. Applicants need not be a member of the church and successful applicant is not required to attend church services or events.
Key Responsibilities
- Maintain regular office hours (Tuesday – Friday: 10:00 AM – 2:00 PM) to answer phones, greet visitors, and coordinate activities with the pastor, staff, and volunteers.
- Retrieve and distribute voicemail messages, emails, and mail in a timely manner.
- Communicate important information to the Pastor and church leaders as needed.
- Manage and update the church database and Google calendar.
- Coordinate facility use requests and communicate with appropriate church volunteers.
- Order and maintain office supplies.
- Prepare the weekly church bulletin electronically and print copies.
- Prepare and distribute the weekly newsletter via email and mail.
- Send church-wide email announcements as directed.
- Update the church website weekly with current information and events.
- Manage prayer requests and maintain accuracy in weekly publications.
- Update church sign (weekly).
Additional Responsibilities
- Track and manage seasonal orders (e.g., Easter flowers).
- Compile and distribute monthly Church Council meeting minutes.
- Assist the Pastor with annual Charge Conference preparation.
- Coordinate with ministry teams to support church programs and initiatives (e.g., ordering curriculum and supplies for Vacation Bible School, managing clearances for volunteers).
- Coordinate building maintenance needs with the Trustees.
- Assist with stocking the Little Free Pantry as requested.
Work Schedule
- Part-time: 16 hours per week
- Typical schedule (flexible but consistent week-to-week): Tuesday – Friday: 10:00 AM – 2:00 PM
Time Off & Attendance
- 16 hours of paid time off annually (vacation, personal, or sick time).
- Additional unpaid time off may be requested.
- Schedule changes must be communicated to the Pastor and SPRC Chair.
- Advance notice required for extended absences (except illness).
Qualifications
- General computer proficiency
- Experience with word processing and spreadsheets
- Strong organizational and communication skills
- Ability to manage multiple tasks and meet deadlines independently
- Experience updating websites preferred
- Familiarity with Apple/Macintosh systems preferred
- Familiarity with Google Suite preferred
- Previous administrative or office management experience (especially in a church or nonprofit setting) preferred
