Secretary for Northgate Middle/High School
TITLE: School Office - Middle/High School Secretary
QUALIFICATIONS:
Qualifications include, but are not limited to, the following:
- 1. High School Diploma or its equivalent and/or courses in office procedures
- 2. Experience as a secretary or equivalent work; demonstrated knowledge of basic office procedures and current technology; typing/keyboarding; general accounting procedures; and other secretarial skills.
- 3. Knowledge of modern office equipment.
- 4. Ability to complete written and oral instructions and provide assistance to staff and students.
- 5. Ability to establish and maintain harmonious relationships with other employees, students, parents, and the general public.
- 6. Must be willing to maintain appearance appropriate to assigned duties and responsibilities.
- 7. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
REPORTS TO: Principal
POSITION GOAL: It is the goal of the School Office/Principal Secretary to assist the Principal, teaching staff, students, and parents to ensure effective operations of the main office, and all components of the school building. Maintain a focus on internal and external communications and organizational planning to ensure all are efficiently and effectively provided.
DUTIES AND RESPONSIBILITIES
- 1. Maintain high standards of confidentiality, attendance and flexibility while working cooperatively with supervisors, coworkers and students.
- 2. Perform all secretarial and receptionist duties as shall be assigned by the Building Principal.
- 3. Maintain a positive and welcoming atmosphere for students, staff and the public.
- 4. Secretarial Duties - answer phones, respond to emails, front door, mail - daily.
- 5. Student Attendance and reporting - daily - entering data into PowerSchool (ED’s, excuses, etc) and printing reports. Keep track of absences/truancy. Communicate with parents about student attendance.
- School Office/Principal Secretary - MS/HS con’t.
- 6. Teacher coverage - daily.
- 7. School substitute responsibilities - daily - assigning coverage, managing AESOP, inquiring about needing teachers/subs.
- 8. In charge of ordering supplies for the office, including supplies for the copiers - point of contact for the Wilson Group for copiers and postage machine - when needed.
- 9. Maintaining school and Principal calendars and schedule events on MySchool Building.
- 10. Graduation - seasonal - in charge of ordering needed items such as cap and gowns, yard signs, flowers, programs, tickets, diplomas, honor cords.
- 11. In charge of the Carehawk calendar, which is our bell system - when needed.
- 12. Assigning loaner computers, taking tech payments, and assisting students with filling out tech reports when computers are damaged - as needed.
- 13. Payroll - daily/end of every month - entering absences for teachers and paras into CSIU, collecting coverage sheets from teachers, collecting time sheets from paras. Print reports for Judy.
- 14. Entering student incidents into PowerSchool - as needed.
- 15. Work permits - as needed.
- 16. Mailings as needed. All school mailings, progress reports, miscellaneous correspondence.
- 17. Kindergarten registration events.
- 18. Perform other duties as assigned necessary to the operation of the district.
TERMS OF EMPLOYMENT: Days and hours as per Negotiated Agreement
