Elwyn seeks an Administrative Assistant to provide administrative support to Elwyn Industries service lines in the areas of personnel, customer service, purchasing, work orders, time keeping, vendor and contracting activity.
DUTIES & RESPONSIBILITIES:
- Performs administrative duties: computer data entry, maintenance of daily attendance log, answering phone, file maintenance, archiving, photocopying, faxing, mailing, and customer service reports
- Orders all office supplies
- Completes all administrative memos, letters, and other correspondence using the computer
- Process personnel documentation and maintain local personnel files
- Maintains administrative records in an organized manner
- Provides support to the service operations team
- Manages personnel time keeping system, including editing and being liaison with corporate office
- Coordinate staff development and in-service as well as maintaining supporting documentation
- Processes payment of invoices, assuring all documentation is complete, and the filing of documentation.
- Coordinates the maintenance of office equipment, as needed
- Assists in the orientation and skill development of new staff members
- Utilizes effective problem solving skills, clear communication and appropriate interpersonal interactions to build and maintain positive, professional working relationships with peers and supervisors
- Compile data and prepare forms for billing
- Completes other duties as assigned
EDUCATION/EXPERIENCE/SKILLS QUALIFICATIONS:
- High school diploma required; associate degree or working towards Bachelor’s degree preferred
- Demonstrated intermediate level of proficiency in Microsoft Outlook, PowerPoint Word and Excel
- 3-years’ administrative or personnel experience
- Experience using a time keeping system and the ability to handle scheduling required
- Excellent communications, organizational and interpersonal skills
- Ability to deal effectively with multiple tasks in a fast-paced work environment
- Ability to perform all duties in an independent manner, with little or no need for direct supervision
- Demonstrated ability to adapt to changes in workload
- Demonstrated ability to anticipate workload and proactively initiate and complete task including ongoing projects, and assist others as requested
- A current Real ID is required for this position to obtain the necessary security clearances at designated federal job sites. A valid U.S. passport or military ID may be accepted in lieu of a Real ID.
