Administrative Assistant

Are you a proactive, organized professional who loves keeping things running smoothly? We are seeking a Workplace Operations Specialist -Admin Assistant to join our team in Philadelphia. In this role, you will play a vital part in creating and maintaining a productive, engaging, and well-functioning workplace environment. Working closely with the Director of Workplace Experience & Operations, you will assist with day-to-day operations, space management, vendor coordination, and ensuring a top-tier experience for all employees and visitors. Responsibilities

  • Daily Operations: Manage office supplies inventory, coordinate building maintenance/repairs, handle mail distribution, and maintain organized common areas. Support onboarding/offboarding processes for workplace access.

  • Space Management: Assist with space planning, office moves, seating assignments, and workstation setups.

  • Vendor Coordination: Act as a point of contact for cleaning, maintenance, and catering vendors; track performance and assist with procurement.

  • Tech & AV Support: Provide basic troubleshooting and escalation for office equipment (printers/copiers) and IT support. Handle basic audio-visual (AV) setup and troubleshooting for meetings and events.

  • Workplace Culture: Assist in planning and executing employee events, maintain a welcoming reception area, and gather employee feedback.

  • Safety & Security: Monitor building access, report hazards, and assist with emergency preparedness protocols.

  • Admin & Projects: Maintain operational records, prepare metric reports, and support special workplace improvement projects.
