We are finalizing our brand new office renovation and this will switch to be a full-time, on-site position closer to the end of the year. For right now, this will be a hybrid role.
Position Overview
The Office & Marketing Coordinator is a hybrid role that blends front-office responsibilities with hands-on marketing support. You will be the first point of contact for clients and prospects, manage day-to-day administrative functions, and help drive our firm’s visibility and client engagement through coordinated marketing efforts.
This role is ideal for a self-starter who thrives in a dynamic, relationship-driven environment and wants to grow with a firm that is making a real difference in this expanding company.
Key Responsibilities
Receptionist & Client Relations
• Serve as the primary point of contact for incoming calls, emails, and client inquiries — projecting warmth, professionalism, and confidence
• Greet and assist clients during in-person appointments (once physical office is established)
• Schedule and confirm client meetings, consultations, and follow-ups on behalf of advisors
• Manage and maintain the firm’s calendar, appointment reminders, and client communication logs
• Handle incoming and outgoing correspondence with discretion and attention to detail
Marketing Support
• Assist in planning, coordinating, and executing client events and educational seminars (e.g., retirement workshops, lunch-and-learn sessions)
• Help manage the firm’s social media presence across platforms such as LinkedIn and Facebook, creating and scheduling content that reflects our brand voice and resonates with a retiree audience
• Coordinate and distribute email marketing campaigns, newsletters, and drip sequences using platforms such as Constant Contact or Mailchimp
• Track campaign performance metrics and provide regular reporting to leadership
• Assist in developing marketing materials, presentations, and digital content in collaboration with advisors
Administrative Operations
• Maintain organized client records, filing systems, and CRM data (experience with Redtail, LeadCenter AI, Wealthbox, Salesforce, or similar platforms a plus)
• Support compliance documentation workflows and ensure materials are kept current
• Order and manage office supplies and vendor relationships
• Assist advisors with preparation of client meeting materials, reports, and proposals
• Coordinate with external vendors (printers, event venues, technology providers) as needed
Qualifications
Required
• 3–5 years of experience in an administrative, receptionist, or marketing coordinator role
• Excellent written and verbal communication skills, with a warm, professional demeanor
• Experience managing social media accounts xrczosw and email marketing platforms in a professional context
• Strong organizational skills with the ability to juggle multiple priorities independently
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint)
• Comfortable working in a hybrid environment with reliable home office setup
Preferred
• Experience in financial services, wealth management, or insurance sectors
• Familiarity with financial planning compliance requirements and client confidentiality standards
• Experience with CRM platforms (Redtail, Wealthbox, Salesforce, or similar)
• Background in event planning or seminar coordination
• Understanding of or sensitivity to the needs and concerns of retirees and senior clients
