Tennis Director Administrative Assistant
Position Summary:
Oxford Athletic Club is the most extensive private health and fitness club in the Pittsburgh area and is nationally recognized by International Health, Racquet, and Sports Associations (IHRSA) for excellence.
The Tennis Director Administrative Assistant supports the Tennis Director in the day-to-day operations of the tennis program. This role involves managing administrative tasks, including payroll processing, billing, scheduling, and other duties as required. The ideal candidate will possess strong organizational skills, attention to detail, and the ability to multitask in a dynamic environment.
Key Responsibilities:
Payroll Processing:
- Accurately process payroll for tennis staff, ensuring timely and correct payment.
- Maintain payroll records and handle any payroll-related inquiries or discrepancies.
- Coordinate with the finance department to ensure proper payroll administration. Billing and Invoicing:
- Prepare and send out invoices for tennis lessons, clinics, and other services.
- Track payments and follow up on overdue accounts.
- Assist in reconciling billing statements and resolving billing issues. Schedule Management:
- Closely monitor and manage the tennis program schedule, including lessons, clinics, and events.
- Coordinate court bookings and ensure efficient use of court time.
- Communicate schedule changes to staff and clients in a timely manner. Administrative Support:
- Provide administrative support to the Tennis Director, including answering phones, responding to emails, and handling correspondence.
- Maintain accurate records of client information, program participation, and staff activities.
- Assist in preparing reports, presentations, and other documents as needed. Customer Service:
- Greet clients and visitors, providing excellent customer service and addressing any inquiries or concerns.
- Assist with client registration for programs and events.
- Ensure a positive and welcoming environment for all members and guests. Event Coordination:
- Assist in the planning and execution of tennis events, tournaments, and special programs.
- Coordinate logistics, including participant registration, scheduling, and setup. Inventory and Supplies:
- Monitor and maintain inventory of tennis equipment and supplies.
- Order and restock supplies as needed to ensure smooth operation of the tennis program. Other Duties:
- Perform other duties as assigned by the Tennis Director to support the overall success of the tennis program.
- Assist with special projects and initiatives as required.
Qualifications:
- High school diploma or equivalent; associate's or bachelor's degree preferred.
- Previous administrative experience, preferably in a sports or recreation environment.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with scheduling software.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal skills.
- Attention to detail and ability to work independently.
- Knowledge of tennis terminology and operations is a plus.
Working Conditions:
- Primarily office-based with some time spent at the tennis courts.
- May require occasional evening and weekend hours depending on the program schedule and events.
