About the Role:
The Home Care Office Manager in Newtown Square, Pennsylvania, plays a pivotal role in ensuring the smooth and efficient operation of the home care office. This position is responsible for overseeing administrative functions, coordinating staff schedules, and managing client communications to support high-quality care delivery. The Office Manager acts as a liaison between caregivers, clients, and management, ensuring compliance with regulatory requirements and company policies. By maintaining accurate records and optimizing office workflows, this role directly contributes to enhancing client satisfaction and operational excellence. Minimum Qualifications:
- High school diploma or equivalent; Associate’s or Bachelor’s degree in healthcare administration or related field preferred.
- Minimum of 3 years experience in office management, preferably within a home care or healthcare setting.
- Strong knowledge of home care regulations, compliance standards, and administrative best practices.
- Proficiency with office software including Microsoft Office Suite and scheduling or electronic health record (EHR) systems.
- Excellent organizational, communication, and interpersonal skills.
Preferred Qualifications:
- Experience with home care billing and payroll systems.
- Familiarity with state and federal home care licensing requirements.
- Certification in healthcare administration or office management.
- Demonstrated leadership experience in managing teams within a healthcare environment.
- Knowledge of HIPAA regulations and patient confidentiality protocols.
Responsibilities:
- Manage daily office operations including scheduling, client intake, and caregiver assignments to ensure seamless service delivery.
- Maintain accurate and up-to-date client and employee records in compliance with regulatory standards and company policies.
- Serve as the primary point of contact for clients, caregivers, and vendors, addressing inquiries and resolving issues promptly and professionally.
- Coordinate with clinical and administrative teams to facilitate communication and support the overall care plan.
- Oversee billing processes, payroll coordination, and inventory management to support financial and operational efficiency.
- Implement office policies and procedures, ensuring adherence to health and safety regulations and quality standards.
- Train, supervise, and support office staff to foster a collaborative and productive work environment.
