Job Summary
This is a supervisory position under the direction of the Director and the Deputy Directors of Probation Services. The Office Manager, in conjunction with the full management team, assists in the administration of the department, establishment and enforcement of policy and procedure and provides supervision of the Support Staff. The Office Manger provides direct management oversight of eight to nine Support Staff. The Officer Manager will foster an atmosphere of teamwork and collaboration among support staff to achieve common departmental goals.

Responsibilities
1. Work with the Director and Deputy Directors to develop a coherent vision for the department, and ensure that all staff members understand the vision and incorporate it into performance of their daily duties
2. Anticipate the needs of the office to constantly work toward quality and efficiency of the workflow process including implementation of new technology and constant assessment and reassessment of staff workload
3. Work with the Director in hiring of Support Staff
4. Follow and reinforce the chain of command
5. Conduct unit meetings and attend management meetings and required trainings
6. Enforce confidentiality of protected information
7. Complete bi-weekly payroll
8. Assists in development and implementation of policies, procedures and regulations in accordance with law and Court policies
9. Primary oversight and responsibility for training new support staff
10. Provides ongoing workload supervision and assistance to support staff
11. Meet with each Support Staff employee individually monthly to assess progress, troubleshoot problem areas, and encourage positive morale
12. Prepares comprehensive annual performance evaluations for staff that address both the areas where employees excel and areas for improvement
13. Oversee purchasing and distribution of office supplies and/or equipment
14. Act as a liaison to Information Services, Maintenance Department, Payroll, Purchasing, and Office Equipment Venders
15. Member of the Emergency Evacuation Committee
16. Serve as the “Super Counter” representative for the Business Continuity Plan
17. Oversee, post and submit purchase orders and training requisition on behalf of the department
18. Review mileage/parking reimbursements for the Support Staff
19. Prepare and post Vacancy Announcements
20. Collect monies for specialized program within the department when staff is unavailable.
Essential Requirements
1. Considerable knowledge of the principles and practices of adult and juvenile department and Court policies and procedures.
2. Proven effectiveness fostering a sense of teamwork, facilitating creativity, encouraging professional debate, resolving staff conflicts, and appropriately motivating and disciplining employees.
3. Demonstrated ability to actively foster an open, cooperative and collaborative working relationship within and between the departments, Court Administration staff, the Court and other departments and agencies.
4. Ability to make decisions independently and with mature judgment.
5. Ability to prepare reports and records and make clear and pertinent statements orally and in writing.
6. Ability to establish and maintain effective working relationships with individuals, other agencies, institutions and the public.
7. Ability to work effectively with a broad range of individuals in probation and parole settings.
8. Must possess initiative and problem solving skills.
9. Ability to manage and organize assignments and prioritize work.
10. Must possess ability to function independently, have flexibility, and personal integrity and the ability to work effectively with offenders and their families, co-workers, and others.
11. Must possess the ability to maintain confidentiality in regard to adult and juvenile client information and records.
12. Must possess the technical knowledge of operating personal computers and various data collection software programs (i.e. Excel and Word).
13. Must possess the mathematical and statistical ability to collect, analyze, and prepare outcome data reports.
14. Must possess thorough knowledge of principles and practices of the Probation Services Department.
15. Must attend trainings, meetings, and/or seminars to gain and possess fiscal and outcomes data to contribute to the department and to develop reports.
