Title Office Assistant
Job Overview:
Contemporary Staffing Solutions is seeking a Title Office Assistant to join our client and support essential post closing and recording workflows within a busy title and mortgage operations team. This role helps ensure that settlement files are completed accurately, documents are recorded properly, and clients receive timely updates throughout the process. The ideal candidate will thrive in a deadline driven environment, communicate confidently with various stakeholders, and contribute to smooth, compliant file delivery. This is a 100% onsite, contract-to-hire opportunity based in Conshohocken, PA.
Compensation:
$21.00 – $23.00 per hour, depending on experience
Work Schedule:
Monday – Friday, 9:30 AM – 5:30 PM
Key Responsibilities of the Title Office Assistant:
- Support end-to-end post-closing workflows by tracking executed documents, completing file reviews, and preparing lender ready packages.
- Coordinate communication with borrowers, lenders, signing agents, internal teams, and offshore resources to resolve questions and keep files moving.
- Handle administrative functions such as outbound calls, status updates, document organization, and management of secure messaging platforms.
- Review incoming collateral for quality and compliance before submitting for recording, and research county-specific requirements as needed.
- Manage recording submissions, troubleshoot rejected documents, and collaborate with municipalities, notaries, and cross-functional teams to finalize outstanding items.
Qualifications and Skills for the Title Office Assistant:
- Experience in a title, mortgage, or similar document heavy environment, with familiarity in post-closing or recording processes.
- Strong organizational and time management abilities, with high attention to detail and comfort working under tight deadlines.
- Confident communicator capable of making outbound calls and interacting with diverse internal and external partners.
- Tech-savvy, with proficiency in MS Office and the ability to learn platforms such as Resware quickly.
- Adaptable, team-oriented mindset with the ability to balance accuracy, follow-up, and fast-paced turnaround requirements.
