We’re seeking a proactive, detail-oriented Executive Administrative Assistant to work directly with the Owner of a growing commercial real estate company. This role blends administrative support, property/project oversight, and social media execution. It’s ideal for someone who’s organized, tech-savvy, and thrives wearing multiple hats in a fast-moving, small business environment.

Core Responsibilities span three key areas:

  • Property / Project Oversight
  • Administrative, Marketing & Operational Support

Key Responsibilities

Property Management & Project Oversight

  • Act as liaison between tenants, vendors, and ownership
  • Coordinate and track repair and maintenance requests
  • Follow up on work orders to ensure timely completion
  • Inspect completed maintenance work to ensure quality
  • Assist with light project management and vendor coordination

Administrative, Marketing & Operational Support

  • Manage owner’s calendar and scheduling
  • Maintain internal systems, checklists, and workflows
  • Respond to calls and emails, route communications
  • Maintain digital filing systems and internal documents
  • Create and post social media content (Instagram, Facebook, etc.)
  • Maintain a content calendar and ensure brand consistency
  • Monitor engagement and respond to comments/messages
  • Assist with creating marketing materials, pitch decks, and campaign ideas
  • Track business development efforts and analytics

Qualifications

  • 3–5 years of relevant experience
  • Excellent written and verbal communication skills
  • Strong organizational and project management abilities
  • Very high attention to detail
  • Proficient in Google Workspace
  • Proficient in: Instagram, Canva, Facebook, Mailchimp, Meta Business, Google Business
  • Valid driver's license

Preferred (Not Required)

  • Experience in property management or hospitality
  • Familiarity with TenantCloud, QuickBooks, or similar software (a plus but not needed)
  • Creative eye for visual branding
  • Enjoyment of social media (but not seeking a career in it)
