About the Role
Engage Health Solutions is seeking a highly organized, detail-oriented Client Operations Coordinator to support our growing national client base. This role sits at the intersection of account management, operations support, and client communication, ensuring that our providers, partners, and internal teams stay aligned, informed, and on schedule.
The ideal candidate is proactive, resourceful, and comfortable coordinating multiple projects at once. This is not a program manager role; it is a hands-on operational support position focused on keeping client engagements moving, tracking deliverables, and maintaining strong communication with all stakeholders.
Key Responsibilities
Client Support & Account Coordination
- Serve as a day-to-day point of contact for assigned clients.
- Assist with new client implementations, onboarding calls, and documentation collection.
- Coordinate activities between clients, audit teams, data teams, and internal specialists.
- Ensure clients have a smooth onboarding experience, including completing forms, gathering needed documents, and facilitating communication.
Operational Workflow & Tracking
- Maintain and update client tasks, deliverables, milestones, and timelines within Jira.
- Monitor due dates, implementation targets, and critical workflow steps to ensure commitments are met.
- Track client activity, open items, and follow-through needs and escalate when deadlines are at risk.
- Move files, data, and documentation securely between Engage and clients.
Communication & Organization
- Draft clear updates, summaries, and follow-up messages to clients.
- Assist in scheduling calls, coordinating meetings, and preparing agendas or status summaries.
- Ensure internal teams receive accurate and complete information to perform audits, reviews, and analyses.
Client Growth & Relationship Development
- Identify opportunities to expand existing client services (upsell/cross-sell) and share them with leadership.
- Support client satisfaction initiatives by routinely checking in and ensuring needs are met.
Required Skills & Experience
- Exceptional organizational skills with the ability to manage multiple priorities a must.
- Strong communication skills, both written and verbal.
- Proven experience in an administrative, client service, operations, or coordinator role.
- Experience with workflow or ticketing systems (Jira preferred, but not required).
- Ability to work with sensitive information with discretion and professionalism.
- Comfortable interacting with physicians, administrators, and technical teams.
Preferred Qualifications
- Experience in healthcare, revenue cycle, compliance, medical documentation, or audit operations.
- Familiarity with onboarding workflows, implementation processes, or client success environments.
