We're looking for a Practice Operations Associate to serve as the administrative powerhouse for our growing financial services team. In this role, you'll be more than an administrator—you'll be a trusted business partner who helps advisors deliver exceptional client experiences while ensuring critical operational processes are executed with excellence.

What You'll Do
Drive Operational Excellence
- Manage the administrative lifecycle of investment and insurance business, including applications, transfers, account maintenance, and service requests.
- Ensure all client documentation is complete, accurate, and compliant.
- Monitor workflows and proactively move cases forward to completion.
Maintain Critical Systems & Data
- Keep CRM and broker-dealer systems accurate and up to date.
- Perform regular audits and quality checks to maintain data integrity.
- Support reporting and operational tracking efforts.
Coordinate Advisor Activity
- Manage advisor calendars, appointments, and workflow priorities.
- Help maintain an organized and efficient daily operating rhythm.
- Coordinate follow-ups and ensure key deadlines are met.
Deliver Outstanding Client Support
- Serve as a primary point of contact for clients, advisors, and industry partners.
- Resolve administrative requests and outstanding requirements promptly.
- Help create seamless, professional service experience for every client interaction.
Support Meetings & Client Reviews
- Prepare meeting materials and client documentation.
- Organize digital files and records.
- Capture detailed notes and action items to support follow-up activities.
Continuously Improve Processes
- Identify opportunities to streamline workflows and increase efficiency.
- Recommend and implement improvements that reduce administrative friction.
- Contribute to a culture of operational excellence and continuous learning.
What Makes You a Great Fit
Required Experience
- 2+ years of experience in wealth management, broker-dealer operations, financial services support, or a related administrative role.
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities while maintaining a high degree of accuracy.
- Professional communication and client service skills.
Preferred Qualifications
- Bachelor's degree or equivalent professional experience.
- Experience as a Client Service Associate, Administrative Assistant, or Operations Specialist within financial services.
- Familiarity with custodial and advisor technology platforms such as Wealthscape, eMoney, Envestnet, or Hearsay Social.
- Experience with CRM systems such as Salesforce or Advisor360.
Technical Skills
- Proficiency with Microsoft Outlook, Excel, Teams, and OneNote.
- Comfortable learning new technology and navigating multiple systems.
Compensation & Benefits
- Base Salary: $50,000 - $60,000 with performance-based bonus eligibility
- Primary Location: Center Valley, PA with hybrid work options
