Operations Director

The Operations Manager is a leadership role responsible for the internal operations, educational programming, and digital infrastructure of Brandywine Workshop and Archives (BWA). Reporting directly to the Executive Director, this position manages the day-to-day administrative functions of the organization, educational engagement, digital database management and coordination.

This is a hands-on role in a lean, mission-driven organization. The ideal candidate is a self-starter who brings operational discipline, a passion for arts education, the use of digital communication methods (email, social media platforms, websites, digital publishing, video conferencing) and the versatility to work across functions with minimal supervision.

Duties & Responsibilities

Operations & Administration

  • Manage day-to-day organizational operations, ensuring efficient workflow across all departments and functions.
  • Coordinate and manage contractor relationships, including IT, security, marketing, and digital content teams.
  • Support the Executive Director in board relations, including meeting preparation/assembling materials, tracking action items, and coordinating board committee logistics.
  • Manage vendor relationships and oversee procurement of supplies, services, and equipment.
  • Serve as the primary operational point of contact when the Executive Director is engaged in external meetings, funder cultivation, or strategic planning.

Educational Engagement & Programming

  • Develop and manage educational partnerships with the School District of Philadelphia, and other schools, colleges and universities.
  • Design and implement art-based activities and programming that align with BWA’s mission and expand community engagement.
  • Coordinate public-facing workshops, artist talks, and educational events in collaboration with the Gallery Manager and master printers.
  • Track and report on program attendance, participant demographics, and engagement outcomes.

Digital & Collections Management

  • Manage data entry, maintenance, and quality assurance within BWA’s digital collections database.
  • Oversee website updates and digital platform coordination, working with IT, content team, and Executive Director.
  • Support the implementation of digital initiatives, including platform migrations and system improvements.
  • Ensure accurate and up-to-date records for BWA’s permanent collection, print inventory, and archive.

Qualifications

Required

  • Bachelor’s degree in arts administration, nonprofit management, art education or museum studies, or a related field.
  • Minimum 5-10 years of progressive experience in nonprofit operations, arts administration, or museum/gallery management or related experience.
  • Demonstrated ability to work independently and build consistent processes and cross-functional teams in a resource-constrained environment.
  • Demonstrated experience leading a team and getting buy-in and organizational alignment.
  • Experience managing multiple projects, contractors, and timelines simultaneously.
  • Strong written and verbal communication skills.
  • Proficiency with database management systems and standard office technology.
  • Comfort with ambiguity and a track record of creating structure where none previously existed.Preferred
  • Experience with collections management systems.
  • Background in developing educational programming with K–12 school districts or community organizations.
  • Familiarity with the contemporary art and printmaking landscape.
  • Experience working in a diversity-focused cultural organization.
  • Master’s degree in a relevant field.

Compensation

$65,000 – $80,000 annually
