We are looking for a detail-oriented Administrative Assistant/Project Coordinator to join a team in Havertown, Pennsylvania. In this Contract to permanent position, you will play a key role in supporting office operations and project coordination efforts. The ideal candidate is organized, proactive, and capable of managing multiple tasks while maintaining efficiency and accuracy.
Responsibilities:
• Manage front desk operations by performing tasks such as scheduling, data entry, filing, and document organization.
• Prepare and proofread letters, reports, and project documentation, ensuring accuracy and attention to detail.
• Utilize Excel spreadsheets and databases to maintain and update administrative records and project tracking logs.
• Support project teams by coordinating schedules, tracking deliverables, and maintaining timelines for ongoing projects.
• Facilitate communication between departments, vendors, and clients to ensure smooth project execution.
• Monitor budgets, process invoices, and handle purchase orders with precision and timeliness.
• Assist in creating presentations, proposals, and materials for meetings.
• Provide excellent customer service by addressing client inquiries and resolving issues promptly.
• Ensure the office operates efficiently by maintaining supplies and coordinating with vendors as needed.
• A minimum of three years of experience in administrative support or a related role.• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Familiarity with Sage software for invoicing and accounting tasks.
• Strong organizational skills with the ability to handle multiple tasks and meet deadlines.
• Excellent verbal and written communication skills.
• Attention to detail and a high level of accuracy in all tasks.
• Ability to work onsite in Havertown, Pennsylvania.
• Customer service experience, demonstrating a detail-oriented and courteous demeanor.
