Operations manager
Report to : Board President
Weekly hour commitment : average of 20 hours
Season Commitment: approx. 28 weeks (break between Thanksgiving and New Years) – rehearsals are on Saturday mornings and concerts are Saturday or Sunday afternoons at various venues (3 full orchestra concerts per season plus 1 chamber concert). More flexible/less summer hours.
Location: Central High School - 601 Mundis Mill Rd. York, PA 17406. Some travel within York County is required for performances and concerts.
In-person Requirements: Attend rehearsals and concerts in-person. Administrative work can be performed from our office on the 3rd floor of the Appell Center, 50 N. George St. York, PA 17401 or remotely. A laptop is provided.
Education: High School Diploma
Experience: Entry Level, experience playing in an orchestra and/or planning events is a plus. Background check and state clearances are required.
What We’re Looking For:
First and foremost, we are looking for an Operations Manager that can tackle the below tasks and others that arise and positively represent the organization in our community. This will be your primary role and function with the YYSO.
Administration
● Maintain accurate database of student/parent contact information
● Check and respond to emails
● Send weekly email updates to students and parents
● Manage mail (Appell Center)
●Coordinate with Bookkeeper and President regarding bills & donations received
● Copy parts as required
● Create and manage music folders for students before and after concerts
Programming
● Help develop and distribute annual schedule
● Manage auditions (August)
● Handle venue logistics day of for rehearsals and concerts, including recording and photography
● Student Handbook – familiarity and updates
● Coordinate Concerto Competition (March)
● Oversee Chamber Ensembles (Mar – May)
PR & Marketing
● Website maintenance
● Social media
● Create advertising materials for concerts & Give Local York
● Create programs for all concerts Rehearsal Management
● Assist and manage the setup and teardown of all performances and rehearsals ● Oversee rehearsal volunteers to ensure duties are completed
● Maintain smooth, calm operations of productions and performances
● Keep accurate attendance records
● Oversee guest musicians and sectional coaches at rehearsals
Music Library
● Assist with assigning parts of music to students
● Handle part distribution to students
● Process music returns
● Assist with handling of rentals
Other / Strategic
● Attend bi-monthly Cultural Alliance partner meetings as able
● Assist with CAYC funding applications
● Work alongside the board’s development committee to facilitate fundraising and securing ad/concert sponsors
● Oversee parent engagement committee
● Organize fundraising events as needed
● Seek out partnerships and potential collaboration among other community groups (CAYC partners or otherwise)
This role is fluid and has the potential to develop into a more in-depth leadership role within the organization requiring more hours and additional skill sets.
