Office manager
Office Manager – Westmoreland-Fayette Council
The Westmoreland-Fayette Council, Scouting America, is looking for an Office Manager to join our team! This is an exciting opportunity to play a key role in supporting youth development and community engagement through Scouting. The ideal candidate will be organized, detail-oriented, and passionate about making a difference. As Office Manager, you’ll oversee daily administrative operations, coordinate communications, and ensure the smooth functioning of our council office.
Key Responsibilities:
Administrative Support
- Maintain Executive Board database and prepare notices and handouts for meetings.
- Develop and distribute the council newsletter to stakeholders.
- Coordinate bulk mailings and maintain efficiency in postal communications.
- Maintain and oversee the use of the council’s postage machine.
- Maintain and update the council’s website with relevant and current information.
- Prepare and distribute campership notices to the appropriate recipients.
- Produce certificates for awards and recognitions as needed.
- Perform all other duties as assigned by the Scout Executive.
Personnel & Office Management
- Hire and manage the Registrar and Scout Shop Manager.
- Coordinate onboarding of new staff to ensure proper training and integration.
- Oversee and manage PTO time for all office staff.
- Coordinate office supply orders to ensure a well-stocked and efficient workplace.
Financial & Technical Support
- Provide computer and server support, including adding new users and troubleshooting technical issues.
- Serve as a backup for making bank deposits and processing payroll.
- Manage and maintain the council phone system, ensuring functionality and ease of use.
- Serve as a backup for Eagle Scout processing, assisting with documentation and certification.
General Office Responsibilities
- Provide Trading Post coverage on alternate Saturdays, during lunches, and for staff vacations.
- Answer phones professionally and direct inquiries appropriately.
- Open and route incoming mail to the correct personnel.
Qualifications and Skills:
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, database management, and website maintenance.
- Ability to handle sensitive information with confidentiality and discretion.
- Strong problem-solving skills and ability to work independently.
- Experience in staff supervision and training.
- Knowledge of financial and payroll processes is a plus.
Hours: 35-39 hours per week.
- Mon – Fri: 9:00 a.m. – 5:00 p.m. and every other Saturday from 9:00 a.m. – 1:00 p.m.
- Summer Hours -After Memorial Day to Labor Day - (Mon-Fri: 8:00 a.m. – 4:00 p.m. One Saturday per month in June-July-August)
Salary:
Starting wage: $20.00 per hour
