Concierge (Part-Time)
Objective:
To provide a welcoming and professional first point of contact for visitors and callers, while supporting daily administrative operations across departments at the Rouse Estate. This role reflects and upholds our Core Values of compassion, respect, and service excellence.
Key Responsibilities:
- Welcome and Direct Visitors
Greet all guests with a friendly, professional demeanor and ensure they are directed appropriately, following current health and safety protocols. - Manage Phone Communications
Answer and route incoming calls efficiently, take accurate messages, and ensure timely follow-up. - Administrative Support Across Departments
Assist with clerical tasks for Life Enrichment, Human Resources, Finance, Plant Operations, and Administration—including typing, fax distribution, meeting room scheduling, and document scanning. - Visitor and Vendor Screening
Monitor the main entrance and lobby area for resident safety and screen visitors and vendors per infection control guidelines. - Mail and Payment Processing
Sort and distribute incoming mail, receive and log resident payments and Trust Fund requests, and assist Finance with deposits. - Event and Transportation Coordination
Schedule transportation for residents, communicate with the salon for appointments, and support planning of Life Enrichment activities. - Communication and Emergency Alerts
Relay urgent messages, weather alerts, or inspections to relevant staff and agencies using established procedures and contact lists. - Uphold Clean, Safe, and Professional Environment
Maintain a tidy and sanitized lobby, assist with meal ordering for staff, and ensure front desk area reflects the Rouse Estate’s commitment to hospitality. - Other duties as assigned.
Qualifications:
Education:
- High school diploma or equivalent required. Additional clerical training preferred.
Experience:
- 1–2 years in administrative or customer service roles, preferably in healthcare or senior services.
- Proficient in Microsoft Office (Word, Excel, Outlook).
- Typing speed of at least 50 words per minute.
Skills:
- Strong communication and interpersonal skills
- Excellent phone and front desk etiquette
- Ability to multi-task and prioritize in a fast-paced environment
- Attention to detail and confidentiality
- Professional appearance and punctuality
Physical Requirements:
- Able to sit for extended periods (up to 4 hours at a time)
- Lift up to 20 pounds as needed
- Comfortable working around individuals with diverse medical needs
Work Environment:
- Indoor office setting with frequent interruptions
- Flexible schedule required, including weekends and holidays
