Office Specialist

Are you a proactive problem-solver who enjoys a mix of technical hands-on work and face-to-face customer service? We are seeking a Site Service Specialist to manage on-site work assignments, ensuring our client’s office operations run seamlessly. You will be the primary point of contact for device maintenance, inventory management, and high-level customer satisfaction. In this role, you will be responsible for the "health" of the office’s reprographic (copier/printer) fleet and general site services. Qualifications

• Education: High School Diploma, GED, or equivalent experience.
• Experience: 0–1 year of related experience (we are willing to train the right candidate)
• Tech Savvy: Basic computer skills and technical knowledge to navigate device settings and internal systems.
• Customer-First Mindset: Excellent communication skills with a professional and helpful demeanor.

Physical & Compliance Requirements

• Physical Stamina: Ability to spend extended periods standing, bending, walking, reaching, and pulling.
• Heavy Lifting: Ability to regularly lift and move objects up to 50 lbs (such as paper boxes and moving copiers).
• Clearance: Ability to obtain security or other specific clearances required by the customer to enter their premises.
• Safety Protocols: This is a customer-facing role; compliance with customer policies and protocols (which may include COVID-19 vaccination measures) is required.
• Flexibility: Ability to work overtime (OT) as needed and work with minimal supervision.

Responsibilities

Device Maintenance & Troubleshooting:

• Upkeep: Perform routine maintenance including cleaning glass/surfaces, clearing paper jams, replenishing toner, and loading paper
• Technical Support: Evaluate equipment issues, assist end-users with basic functionality, and notify the service department for complex repairs.
• Reporting: Record meter reads, maintain service activity reports, and monitor supply levels to restock inventory.
• Manual Handling: Deliver paper supplies and move/position equipment as needed.

Customer Service & Communication:

• Responsiveness: Promptly review and respond to management and client requests via email, phone, text, and in-person interactions.
• Proactive Reporting: Keep supervisors informed of potential problems or customer concerns before they escalate.
• Collaboration: Attend cross-functional trainings to provide coverage during short-staffing and adapt to changing site needs.
