POSITION SUMMARY
The MATP Coordinator Assistant provides essential administrative and programmatic support to the Medical Assistance Transportation Program (MATP), the Senior-Shared Ride Program, and the Persons with Disabilities Program (PWD). Working under the direction of the MATP Coordinator, this position assists in managing client eligibility, transportation coordination, reimbursement processing, and compliance activities to ensure program participants receive safe, timely, and appropriate transportation to medical appointments.
KEY RESPONSIBILITIES
Client Services & Eligibility
- Assist in managing the front office reception area, ensuring a welcoming and professional environment for program clients.
- Support the client intake process by receiving, reviewing, and processing applications and eligibility assessments for new and existing MATP consumers.
- Maintain accurate and up-to-date client files, including eligibility documentation, assessment records, and correspondence.
- Communicate effectively with consumers regarding program requirements, appointment scheduling, and transportation arrangements.
Transportation Coordination
- Assist in coordinating transportation services for consumers with agencies and subcontractors, ensuring timely and appropriate trip arrangements.
- Process and review transportation reimbursement requests in accordance with MATP guidelines and state regulations.
- Track and document consumer no-show incidents; assist in the preparation and distribution of no-show notifications.
- Support complaint tracking and resolution activities, documenting issues and escalating as appropriate.
Compliance & Administrative Support
- Assist in identifying and sanctioning MATP consumers who violate program rules or present safety concerns, in accordance with established procedures.
- Support preparation of quarterly reports, statistical data, and other required documentation for state and county compliance.
- Attend State and County MATP meetings as directed; record and distribute meeting notes.
- Serve as a point of contact for queries from other departments, agencies, and state representatives; respond accurately and in a timely manner.
- Provide general administrative support to the MATP Coordinator, Chief Financial Officer, and other program staff as needed.
- Assist with special projects and other duties as assigned.
QUALIFICATIONS & REQUIREMENTS
Experience
- 1–2 years of administrative or human services experience preferred
- Prior experience in a transportation, healthcare, or social services environment a plus
Technical Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Experience with database entry and records management systems
- Ability to navigate internet-based resources and program portals
- Accurate keyboarding and data entry skills
Knowledge, Abilities & Skills
- Working knowledge of the Delaware Valley region and local transportation resources
- Familiarity with MATP, Senior-Shared Ride, or PWD program requirements preferred
- Exceptional organizational skills and strong attention to detail
- Excellent oral and written communication skills
- Analytical and problem-solving ability with sound judgment
- Ability to build cooperative working relationships with consumers, co-workers, subcontractors, and state/county agencies
- Ability to maintain confidentiality and handle sensitive client information with professionalism
SUPERVISION & WORKING RELATIONSHIPS
This position works under the direct supervision of the MATP Coordinator, with indirect oversight from the COO. Work is performed in accordance with prescribed methods, program regulations, and departmental procedures, with allowance for independent judgment in routine matters. The MATP Coordinator Assistant works collaboratively with the Receptionist, MATP Clerk, Front Office Clerk, and external agency representatives.
WORK ENVIRONMENT
- Work is primarily performed in an office setting with extended periods of computer use.
- Regular interaction with the public, program consumers, and agency representatives by phone, email, and in person.
- Occasional travel to State and County MATP meetings may be required.
