As an Administrative Assistant Your responsibilities will include but aren’t not limited to:
• Provide administrative support including document preparation, mail distribution, expense reporting, and meeting coordination.
• Manage and maintain tenant and vendor databases, ensuring all information is accurate and up to date.
• Prepare and process leasing and business development documentation, such as deal sheets, RLAs, advertising agreements, and retailer communications.
• Generate and analyze reports using Yardi and other systems to assist property and business development teams.
• Support marketing efforts by managing website updates, social media content, and e-blasts, while also tracking and reporting on marketing activities.
• Assist with planning and executing events, including scheduling community spaces, coordinating corporate sweepstakes, and organizing employee appreciation activities.
• Handle communication with tenants, vendors, and other stakeholders to ensure smooth operations and address inquiries.
• Take photographs for marketing purposes and maintain an inventory of promotional materials.
• Coordinate on-site programs and events, ensuring all logistics are managed effectively.

The Ideal Administrative Assistant will have:
• A minimum of 3-5 years of administrative experience, with a high school diploma or equivalent.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Understanding of Yardi software.
• Familiarity with basic marketing tools and techniques.
• Strong organizational and time management skills with exceptional attention to detail.
• Excellent written and verbal communication skills paired with a customer service-oriented mindset.
• Ability to multitask and prioritize tasks in a fast-paced environment.
• Problem-solving skills and a proactive approach to handling challenges.
