Office Operations Administrator Assistant

This role entails performing basic to general administrative functions to support office leadership and staff, ensuring the smooth day-to-day operations of the office.
Responsibilities

Perform routine technical and administrative tasks under close supervision.

Answer and direct office main line phone calls.
-
Assist or serve as Safety Coordinator by updating evacuation and business continuity plans, organizing safety trainings, and ordering equipment.

Support event activities and compliance with the Employee Engagement & Citizenship Program.

Assist with processing timesheets and expense reports.
-
Coordinate travel and meeting arrangements.
-
Order lunches and assist with staff and client meetings.
-
Receive vendors, guests, and client visitations, handling security access, parking, amenities, seating, and safety.

Process vendor invoices and sort, distribute, and process mail.

Track office accounts payable.

Perform other job-related duties as assigned.
Essential Skills
-
Proficient in Microsoft Office Suite including Word, Excel, Teams, and Outlook.

3+ years of experience in administrative or office duties within industrial, engineering, or property management industries.

Strong customer service skills.

Excellent written and verbal communication skills.

Ability to multitask and prioritize effectively.

Strong organizational skills.
Additional Skills & Qualifications

Working knowledge of Microsoft Office Suite/O365 applications.
Work Environment
This position is located in a corporate building occupying 2.5 floors. The role involves moving around the floors, primarily stationed in the front area. The work hours are Monday through Friday, from 8:00 AM to 4:30 PM, with a half-hour unpaid lunch break. The dress code is business casual, with jeans acceptable.

This is a Contract to Hire position based out of Mechanicsburg, PA.
Pay and Benefits
The pay range for this position is $23.00 - $28.00/hr.
