Finance and Operations Manager - Non-profit
Our human services agency client in Philadelphia, PA, is seeking a Finance and Operations Manager. This pivotal role will be vital in providing financial management for the organization. This position will provide various bookkeeping and accounting duties, including preparing financial information for government contract invoicing, other invoicing needs, accounts payable, and bi-weekly payroll. This position requires experience in managing government and restricted fund accounting and invoicing. The target salary range for this position is around $85,000. The position is hybrid, with a minimum of 3 days in the office. About the role What this position will focus on:
Managing finance and accounting
You will oversee the agency's daily financial operations. This person will oversee all aspects of their fund and general accounting, with many different, complex revenue sources. You will own tracking all of the invoices to foundations, government agencies, and partners. Being an operations go-to person
You will help support the Executive Director (ED) with the overall operations of the organization and be the go-to person for equipment, supplies, basic IT/equipment support, and property management. Critical parts of the job
Manage all day-to-day accounting; accurately enter, process, and reconcile transactions including accounts payable and accounts receivable
Process bi-weekly payroll, including organizing and reviewing staff timesheets and related reporting
Assist with creating monthly invoices for reimbursement from government funders following cost allocation principles
Handle all aspects of accounts payable
Perform month-end closing procedures
Create and update organizational/financial operations manual
Provide support to leadership team and external accounting firm in preparing monthly, quarterly, and annual funder reporting
Participate in financial audits and preparing year-end reports, schedules, and other documents; provide audit process support; generate reports and data for annual 990
Help in building internal financial systems and suggest process improvements
Perform other financial and contract responsibilities as needed
Oversee inventory management of all agency equipment (e.g., copier, telephones, computers) in conjunction with outside IT support vendor(s)
Work with the building manager and landlord regarding office maintenance and suite support
Assist with employee onboarding/offboarding procedures
Maintain operational and organizational charts of board and staff, plus grant funders

A bachelor’s degree in finance or accounting, or other relevant fields. Equivalent years of experience could be considered in lieu of a college degree.
Three (3) or more years’ experience in managing bookkeeping, budgeting, and financial reporting
Knowledge of QuickBooks Online and Bill.com
Strong demonstrated knowledge of Excel and basic bookkeeping skills are required
Familiarity with nonprofit and government grant accounting highly preferred
Strong written and oral communication skills.
Good interpersonal skills, ability to relate and work well with people from a variety of socioeconomic and cultural groups.
Excellent organizational skills to handle multiple priorities while remaining professional and calm.
Ability to organize and prioritize tasks.
Ability to be accurate, even at a fast pace and high-volume level of work
Ability to work independently and be self-directed and flexible.
