SRU/SGA Preschool and Child Care Center Administrative Assistant
Position Summary
The Administrative Assistant provides organizational and administrative support for the SRU/SGA Preschool and Child Care Center. This position assists with enrollment, recordkeeping, compliance documentation, communication with families, and general office operations to ensure programs operate efficiently and meet state, federal, and organizational requirements.
The Administrative Assistant works closely with the Program Director, teaching staff, and families to support high-quality early childhood education services.
Key Responsibilities
- Provide administrative support to the Program Director and teaching staff.
- Maintain accurate student and program records in compliance with Pennsylvania Department of Human Services, Department of Education, and Office of Child Development and Early Learning.
- Assist with preparation and organization of required program reports and documentation.
- Track program attendance, enrollment, and waiting lists.
- Support classroom staff with administrative tasks and documentation.
- Assist with program inquiries, applications, and enrollment processes.
- Maintain enrollment files and ensure required documents are complete.
- Communicate with families regarding registration, schedules, forms, and program information.
- Coordinate distribution and collection of family paperwork.
- Maintain student files in accordance with state licensing and PA Pre-K Counts guidelines.
- Track required documentation such as immunization records, income verification, and eligibility documentation.
- Support preparation for audits, monitoring visits, and licensing reviews.
- Assist with scheduling meetings, trainings, and family events.
- Prepare correspondence, reports, and program communications.
- Maintain electronic and paper filing systems.
- Enter and maintain program data in required state or organizational systems.
- Assist with attendance tracking and reporting requirements.
- Maintain confidentiality of all child and family information.
Qualifications
- Associate degree in business administration, office management, early childhood education, or related field. Bachelor degree preferred.
- 2+ years administrative or office experience preferred.
- Experience in early childhood education, childcare, or nonprofit programs preferred.
- Familiarity with publicly funded early learning programs is a plus.
Skills
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office or similar software.
- Ability to manage confidential information responsibly.
- Ability to work collaboratively with staff and families.
Additional Information
The SRU/SGA Preschool and Child Care Center operates Monday – Friday, 7 am – 6pm. We currently employ 4 full-time head teachers and 30 part-time classroom assistants who are graduate and undergraduate students at Slippery Rock University. Our current enrollment is 130 children.
