Intake Specialist (Potential Pathway to Associate Advocate)

We’re seeking a detail-oriented, tech-savvy, and compassionate Intake Specialist to support our growing team. For qualified candidates, this role may develop into an Associate Advocate position under the mentorship of a Lead Advocate.

Key ResponsibilitiesClient Onboarding & Documentation

• Generate customized service agreements and send via our Client Management system.
• Create and maintain organized client folders.
• Upload and organize special education records (IEPs, evaluations, forms, signed agreements).

Communication & Scheduling

• Monitor and manage [email protected] with professionalism and urgency.
• Respond to inquiries or route to the appropriate team member.
• Track post-consultation interest and follow up with families who have not yet engaged in services.

Administrative & Project Coordination

• Maintain the Pending Clients spreadsheet and other internal trackers.
• Ensure timely delivery of onboarding documents and package materials.
• Support the advocacy team with calendar coordination, document preparation, and deadline tracking.
• Track monthly service milestones (e.g., IEP meetings, annual reviews).

Systems & Process Improvement

• Identify opportunities to streamline administrative workflows.
• Help document and maintain internal SOPs (Standard Operating Procedures).

Required Qualifications

• Background or experience in special education, educational administration, or a related field.
• Familiarity with IEPs, Evaluation Reports, and special education documentation.
• Proficiency with Google Workspace (Drive, Docs, Sheets, Gmail).
• Exceptional organization and attention to detail.
• Excellent written and verbal communication skills.
• Ability to manage multiple priorities independently in a fast-paced environment.
• Compassionate, professional demeanor when interacting with families.

Preferred Qualifications

• Degree or certification in Education.
• 2+ years of office management or administrative experience.
• Experience with a CRM or client management system.
• Experience working in hybrid or remote teams.

Compensation & Growth

• Intake Specialist: $20–$25/hour, depending on experience and qualifications.
• Associate Advocate (pathway role): $28–$35/hour, based on experience, caseload responsibility, and supervision level.
• Candidates with prior education experience or degrees in education may start at the higher end of the range.
• Newer candidates with strong organizational and communication skills may start at the entry rate, with a 90-day review for potential adjustment.
